We are looking for a passionate Practice Manager to join our leading team of hospice care professionals and make a difference, by listening, caring, and serving. 

Position Summary:  The Practice Manager (PM) is responsible for the operational and administrative functions of the Palliative Care program.  Key duties include supervising support personnel, overseeing provider schedules, enhancing patient accessibility, optimizing support staff workflows, and establishing and monitoring key performance metrics.  The PM collaborates closely with company leadership and contributes to the development and execution of best practices throughout the company.


Essential Duties:

  • Provide comprehensive support for the expansion of Three Oaks Palliative Care into new markets, including delivering end-user training and offering solutions for EMR related challenges.
  • Collaborate on the implementation of Remote Patient Monitoring (RPM) initiatives, contributing to the development of analytical reports to assess patient engagement and outcomes.
  • Contribute to the formulation and documentation of operational policies and procedures specific to the palliative care program.
  • Develop and monitor key performance indicators (KPIs) on a monthly, quarterly, and annual basis to track trends, acknowledge staff achievements, and identify areas for improvement.
  • Act as a subject matter expert on optimizing the EMR system, focusing on workflow, documentation, and procedural enhancements.
  • Facilitate and coordinate EMR education and training for both new and existing staff members.
  • Spearhead the implementation of a patient scheduling platform to enhance operational efficiencies across all markets.
  • Oversee administrative functions of support staff, including recruitment and performance management.
  • Provide training, coaching, and mentoring to staff, fostering professional development.
  • Assist in coordinating the budget development process, implementation, and evaluation in collaboration with leadership.
  • Cultivate positive and collaborative relationships with team members within the development and across the company.
  • Compile billing and reimbursement data to offer historical insights supporting budgetary planning efforts.
  • Execute billing reconciliation tasks to optimize outpatient revenue in collaboration with Palliative Care Nurse Practitioners.
  • Maintain regular, consistent attendance and is flexible to meet the needs of the department.
  • Follow all Medicare, Medicaid, and HIPAA regulations and requirements.
  • Abide by all regulations, policies, procedures, and standards.
  • Perform other functions as assigned.

QUALIFICATIONS:

  • Bachelor’s degree in business administration, healthcare administration or similar related field of study or equivalent work experience.
  •  Minimum of 3 years’ experience working in healthcare operations. Experience managing a medical practice preferred. 
  • Minimum of 3-5 years supervisory experience.
  • Proficient in Excel, PowerPoint, and Word
  • Experience working with CMR and EMR systems.
  • Excellent analytical and problem-solving skills.
  • Solid understanding of scheduling efficiency and patient flow in medical practice.
  • Knowledge of medical billing, coding, and insurance procedures.
  • Ability to communicate clearly and effectively both verbally and in writing.
  • Ability to work well under pressure and effectively managing time and tasks
  • Collaboratively works within the department and across departments as a pro-active team member
