Job Summary:
Working under limited supervision, the Staff Accountant performs skilled technical accounting duties, including reporting, daily support of accounts payable and accounts receivable error resolution, ensuring balance sheet accounts are reconciled on a timely basis, participating in month-end close and ensuring accurate presentation of the company’s financial statements, supporting the annual audit, and driving process improvements.
Scope of Responsibility:
The incumbent is responsible for the accuracy of his/her own work and for providing training and work direction to lower-level technical accounting and clerical staff. Requires the ability to properly handle strictly confidential material and to work relatively independently.
Essential Duties and Responsibilities:
- Support Finance team members in resolving issues related to accounts payable, including but not limited to:
- Sales & Use Tax compliance:
- Monitor and track sales and use tax obligations across applicable states
- Prepare and submit monthly sales and use tax payments in accordance with state deadlines
- Clear the GR IR account (intermediary clearing account in SAP for goods & invoices in transit) by identifying and carrying out proper actions to minimize outstanding balances in this account
- Communicate with vendors, purchasing, or receiving departments in a professional manner
- Serve as a backup for invoice processing
- Code lease invoices to the appropriate general ledger accounts and cost centers
- Review and code rent payable invoices to the appropriate general ledger accounts and cost centers.
- Support the accounting and reporting for fixed assets in SAP
- Maintain and process capital expenditure requests
- Create and maintain internal orders to capitalize assets
- Process disposals of assets as required
- Respond to questions related to fixed assets
- Produce accurate reports related to fixed asset activity from multiple asset books (US GAAP, Tax, etc.)
- Reconcile asset subledgers to various general ledgers
- Participate in physical inventory activities for fixed assets
- Provide all reporting required for the annual tax return and all audits
- Assist Mexico with items related to fixed asset accounting
- Monitor and apply updates to tax depreciation regulations
- Ensuring accurate configuration and compliance within SAP fixed asset modules
- Support other Finance team members in resolving issues related to accounts receivable, including but not limited to:
- Review customer accounts and work with sales to resolve payment issues
- Review daily A/R matching interface and seek to identify opportunities for a higher matching percentage, working with the Finance team and the bank to correct the interface as needed
- Assist in resolving short payments and debit memos
- Serve as a backup for cash application to customer accounts
- Contact customers with collection issues
- Assist in warranty, rebate, customer returns, accruals, and commissions accounting as needed
- Complete and submit periodic government surveys, as well as maintain documentation and records of submitted surveys for audit and compliance purposes
- Gather and analyze financial and operational data required for survey responses
- Coordinate with internal departments to ensure accurate and complete data collection
- Support the company’s commercial card and travel expense program, Concur, including the following duties: post general ledger entries and maintain records according to IRS rules and State sales and use tax regulations.
- Enter new lease agreements into the lease accounting system, ensuring completeness and accuracy
- Measure and classify leases in accordance with applicable accounting standards (subject to approval by designated reviewer)
- Prepare and post monthly lease-related journal entries, including amortization, interest, and rent expense
- Perform quarterly lease account reconciliations and resolve discrepancies
- Maintain organized documentation for lease entries and reconciliations to support audits and internal reviews
- Assist with lease-related reporting and disclosures for financial statements
- Contribute to the monthly financial close by:
- Reviewing, interpreting, and analyzing financial data from internal and external sources, and proposing proper accounting treatment for accurate financial statements
- Effectively researching and resolving accounting and reporting issues and variances to ensure accurate presentation of financial statements
- Interacting with managers outside the Finance department to obtain necessary information to explain financial results
- Reviewing general ledger accounts on a monthly basis to determine the accuracy of accounts and preparing journal entries for review and approval as required
- Monitor the complete list of balance sheet accounts and ensure all relevant accounts are reconciled on a timely basis
- Assist with preparing quarterly financial consolidations and parent company reporting packages in accordance with established timelines and formats
- Assist with the preparation of workpapers for the annual audit, the annual tax returns, and other audits as needed
- Understand and document accounting processes and constantly seek out process improvements and automation opportunities
- Perform other related duties as assigned:
- Participate in system upgrades or implementations as needed
- Maintain organized and accurate financial records
- Perform ad hoc financial analysis and reporting as requested
- Support Senior Accountants and the Assistant Controller in special projects
Minimum Qualifications:
Education:
BS/BA in Accounting, Finance, or a related field
Experience:
- Two or more years of accounting experience, including knowledge of US GAAP
- Demonstrated experience working with accounting and month-end close activities in a major ERP system (e.g., SAP, Oracle, PeopleSoft, etc.)
- Must be highly proficient with Microsoft Office software, especially Microsoft Excel
- Demonstrates impeccable ethics and integrity
- Requires the ability to prioritize multiple tasks in a changing environment with strong attention to detail and minimal supervision
- Demonstrated analytical and problem-solving skills
- Strong organizational and communications skills with demonstrated ability to convey ideas to a diverse audience (Finance and Operational Partners) with a customer service orientation
