General Description:
The Assistant Property Manager supports the day-to-day operations of MCCH Coalition Homes properties, helping to ensure safe, stable, and supportive housing for residents who may be living with mental health challenges, substance use issues, or other barriers to housing stability. This role balances property operations with resident well-being, handling both administrative and relational responsibilities, including leasing, recordkeeping, and compliance with HUD requirements, Fair Housing laws, and agency policies. The Assistant Property Manager approaches all work with a focus on respect, dignity, and long-term housing success.
Essential Duties and Responsibilities:
- Record and track work orders in Yardi, ensuring timely updates, accurate documentation, and follow-up until completion.
- Review and verify applicant documentation for compliance with HUD regulations.
- Coordinate with maintenance staff to inspect and prepare vacant units for move-in.
- Assist with the preparation, execution, and electronic filing of lease agreements.
- Support new residents during move-in and maintain accurate resident files in accordance with agency policies and procedures.
- Assist in record rent payments and assist residents with payment-related inquiries or issues.
- Communicate proactively with residents regarding lease renewals and recertification packages, ensuring timely processing and closure before lease expiration.
- Maintain accurate and organized electronic files of leases, recertifications, and other resident records to ensure compliance and accessibility.
- Ensure adherence to HUD requirements and Fair Housing laws in all property management activities and resident interactions.
- Other duties as assigned.
Requirements
Required Knowledge, Skills, and Abilities:
- At least two years of experience in property management, leasing, or administrative support preferred.
- Minimum of two years of experience working with vulnerable individuals and families
- Ability to negotiate and maintain positive relationships with co-workers, clients, and residents.
- Ability to maintain ethical boundaries and professionalism when working with clients and handling sensitive resident information.
- Strong organizational, communication, and customer service skills.
- Proficiency in Yardi or similar property management software.
- Knowledge of word processing and spreadsheet software.
- Knowledge of leasing procedures, HUD requirements, tenant rights, and housing compliance regulations.
- Familiarity with NCHM guidelines and HOTMA compliance standards.
- Must have a reliable car and be able to transport clients as necessary.
