JOB DESCRIPTION:

Role Summary:

The position is responsible for managing and executing end to end import and export operations for Abbott Nutrition Division in compliance with Indian and international regulatory requirements. This is an individual contributor role that requires strong operational control, stakeholder coordination, and documentation accuracy for smooth import clearance and export shipments to South Asian markets (Sri Lanka, Bangladesh, Nepal, Bhutan, and Maldives).

The incumbent will also handle Permit application and tracking, customs clearance coordination, and samples dispatches from Bhiwandi warehouse, including courier movement of POSM (Point of Sale Materials) exceeding 3,200 shipments monthly.

Key Responsibilities:

• Manage end-to-end export operations for shipments to Sri Lanka, Bangladesh, Nepal, Bhutan, and Maldives.
• Coordinate with CHA, shipping lines, transporters, and freight forwarders for smooth shipment clearance.
• Prepare and validate all EXIM documentation – Commercial Invoice, Packing List, Certificate of Origin, FSSAI NOC, AQ NOC, test reports, and any country-specific requirement.
• Track each EXIM shipment till delivery and ensure on-time dispatch, clearance, and documentation submission.
• Liaise with finance for Letter of Credit (LC) documentation and ensure compliance as per shipping condition.
• Handle sample Imports as per company and regulatory protocols.
• Manage the end-to-end import clearance of Nutrition SKUs.
• Coordinate with CHA, transporters, customs, FSSAI, and AQ officers for clearance and sampling at ports (Mumbai, Nhava Sheva, or Air Cargo).
• Ensure timely filing of Bill of Entry, Customs duty payment, inspection coordination, and product release post NOC.
• Track and maintain the SIP (Sanitary Import Permit) application, renewal, and utilization process with complete documentation.
• Follow up with FSSAI and AQ authorities for clearance, ensure zero demurrage and smooth port operations.
• Manage Bhiwandi warehouse dispatches of POSM and samples materials through courier partners.
• Oversee more than 3,200 courier shipments per month, ensuring accurate packing, labeling, documentation, and on-time delivery.
• Track shipments and manage escalations with courier vendors.
• Maintain dispatch MIS and share monthly reports with Customer Service and Marketing teams.
• Process bills from CHA, transporters, freight forwarders, and courier vendors ensuring correctness, approvals, and timely submission to Finance.
• Create provisions and accruals in line with the company’s month end closing timelines.
• Ensure compliance with Abbott internal controls, including audit readiness and proper documentation for each import/export transaction.
• Coordinate with Finance, Tax, and Commercial teams for GST validation, vendor reconciliation.
• Maintain complete records of export/import documentation, SIP applications, and clearance documents in line with Abbott policy and government requirements.
• Prepare and circulate daily/weekly/monthly shipment trackers for imports, exports, and courier dispatches.
• Manage and monitor data in SAP and other internal systems for shipment status, GRN, and billing.
• Ensure all documents are archived for audit and statutory purposes.
• Strong understanding of Indian Customs, FSSAI, AQ, DGFT, and EXIM procedures.
• Knowledge of SIP application and clearance process for food and nutritional products.
• Expertise in export documentation and compliance for SAARC markets.
• High level of accuracy and accountability in bill processing and provision management.
• Strong coordination and communication skills for cross-functional and external stakeholder management.
• Proficient in SAP, MS Excel, and shipment tracking tools.
• Ability to manage multiple shipments, priorities, and deadlines independently.

Qualification & Experience:

• Graduate / Postgraduate in International Business, Commerce, or Supply Chain Management.
• 7–12 years of experience in Import & Export operations, preferably in FMCG / Nutrition / Food industry.
• Prior experience in handling FSSAI and AQ clearance, SIP applications, and SAARC country exports is mandatory.
