Job Title: HR Specialist
The HR Specialist supports U.S. payroll and HR operations by ensuring accurate and compliant payroll processing, maintaining data integrity in Workday, and driving payroll tax compliance initiatives. This role serves as the designated backup for both the U.S. Payroll Manager and the U.S. HR Operations Specialist—capable of managing full end-to-end payroll processing and day-to-day HR operations activities as needed. The HR Specialist also partners closely with HR Operations, Finance, Benefits, and external vendors to support seamless processes and a positive employee experience.
- Serve as backup for end-to-end U.S. payroll processing, ensuring timely and accurate pay for all US employees.
- Partner with the Payroll Manager and Finance to review, reconcile, and validate payroll data.
- Help oversee final pay calculations and off-cycle payments for terminated employees.
- Manage and resolve payroll-related inquiries via the PSC inbox and Workday Inquiries, providing timely and professional responses.
- Support post-payroll audits, reporting, and compliance checks.
- Serve as backup for the U.S. HR Operations Specialist, supporting the full employee lifecycle from onboarding through termination.
- Collaborate with HRBPs and managers to ensure timely and accurate data entry and approvals that affect payroll processing.
- Ensure accuracy of data integrations between Workday, Dayforce/ADP, and related systems; troubleshoot and drive resolution for any payroll-impacting issues.
- Drive payroll tax initiatives at the state and local level, including registrations, cleanups, and ongoing compliance.
- Partner with the Payroll Manager, HR Operations, and vendors to resolve tax setup, filing, and remittance issues.
- Assist with federal, state, and local payroll tax audits by gathering data, reconciling records, and providing required documentation.
- Support HR system projects that impact payroll, including the ADP transition, ensuring accurate data and seamless execution.
Qualifications
- Bachelor’s degree in Human Resources, Accounting, Business Administration, or a related field (or equivalent experience).
- 3–5 years of progressive HR experience, including exposure to HR operations, payroll, and data management.
- Experience supporting end-to-end payroll processes and maintaining compliance with state and local tax requirements.
- HRIS experience required (Workday or similar platform); strong Excel and data analysis skills preferred.
- Demonstrated ability to manage and reconcile data accurately across multiple systems.
- Excellent organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong interpersonal and communication skills, with the ability to partner effectively across HR, Finance, and external vendors.
- High level of integrity, discretion, and sound judgment when handling sensitive information.
- Agility and growth mindset with a proactive, solutions-oriented approach.
