This role ensures accurate and timely processing of gifts received by the ISU Foundation through review and approval or gift processing. Provides oversight and review of workflows utilizing a high level of financial acumen and ability to interpret information to ensure proper fund designation and reconciliation.
Based on qualifications and experience, a selected candidate may hold one of these job titles: Assistant Director of Gift Administration, Associate Director of Gift Administration, or Director of Gift Administration.
Core responsibilities include but are not limited to:
- Process cash gifts by preparing bank deposits, coding gifts received by mail, retrieve matching gift and third-party payors information online, preparing gift and pledge forms, and prepare gift reminders and receipts.
- Manage ACH and incoming wire contributions by coding activity to proper fund accounts, coordinating and maintaining website access for corporate donors, and providing ACH information to companies and donors upon request.
- Reconcile matching gifts and bank accounts.
- Reconcile holding and transfer accounts.
- Process monthly EFT and payroll deductions. This includes entering new EFTs into electronic systems, reconciling reports, processing payroll deduct pledges, and verifying payroll deduction totals.
- Maintain recurring giving records and communicate with donors when recurring pledges are fulfilled and set up new payments.
- Maintain and regularly update documentation related to gift processing procedures.
Qualifications
Education & Work Experience
- Bachelor’s degree in accounting, finance, or another related field or appropriate related years of experience.
- 2+ years of experience managing complex gift processing OR
- 2+ years of experience in bank account reconciliation, journal entry preparation, and financial system interfaces.
- Familiarity with CRM and financial systems, including data entry, batch processing, and trouble shooting.

- Ability to work independently and as part of a team. Must be adaptable, flexible, and self-directed.
- Proficiency with Microsoft Office Suite and ability to learn new software.
- Must be able to handle several activities simultaneously with attention to detail and adherence to deadlines and accuracy.
