Conferences, Events & Workshops - Planning, Budgeting & Execution

  • Plan and execute external & internal events (40+ annually) from end-to-end.
  • Category of events: National conferences, regional conferences, ZEISS led Masterclasses, ZEISS led workshops, collaborative workshops & internal events.
  • Coordinating & aligning with internal & external stakeholders like sales, logistics, procurement, service, finance & accounts, organizers, vendors etc... for successful completion of the events.
  • Recce/assessment of the venue, materials preparation, and stall set-up based on the category of the event.
  • Ensure consistent branding and messaging across all event materials.
  • Keeping track on all the marketing expenses.
  • Measure event success using KPIs such as attendance, engagement, lead generation for calculating the ROI
  • Be a custodian of the entire demo equipment pool and ensure on-time delivery and installation and uninstallation during the workshops & standby support ensuring no damage to the equipment.
  • Adhering to processes and timelines to ensure operational efficiency.
  • Usage of SAP tools for obtaining approvals processing vendor payments within the timelines.
  • Manage the internal processes of vendor management life cycle from generating the purchase orders till payment.
  • Liaise with sales and leadership teams to plan personalized visit agendas of the global teams.
  • Ensure readiness of the Experience Center product displays, signage, refreshments, etc. guide customers through their visit in exploring the ZEISS campus ensuring a premium and professional experience.

Digital – Email, social media & lead sync

  • Build and execute email campaigns, landing pages, and forms using Marketo & AEM.
  • Maintain data practices and segment audiences in Marketo
  • Track engagement and recommend ways to improve reach and impact.
  • Collaborate with the global marketing team to promote events, sales milestones, customer testimonials, and other achievements across platforms like LinkedIn, Instagram & Facebook.
  • Draft social media captions, design simple creatives (or work with design team), and schedule posts.
  • Integrating entergon suite with Salesforce and Marketo enabling real‑time, bidirectional data sync for capturing leads to analyze ROI& cost per lead.

Engagements – Internal Newsletters, Milestone Announcements, Product Launches etc…

  • Build engaging quarterly internal newsletters and share it with the team.
  • Work with the PR team to promote first in region/newly launched products.
  • Maintain templates to share milestones, product launches & other key moments.

In-Clinic Branding – Basic & Premium

  • Planning and execution of in-clinic or hospital branding initiatives to increase brand awareness.
  • Work with design and vendor teams to produce signage, display materials, standees etc…
  • Ensure all branding elements are installed as per guidelines and maintained over time.
  • Gather feedback from clinic teams to ensure brand consistency and effectiveness.
