We’re looking for a proactive, organized, and detail-oriented Scheduling Coordinator to join our growing team. In this dynamic role, you’ll be the backbone of our day-to-day operations, supporting everything from scheduling to HR coordination, and making a real difference in the lives of our clients and staff.

The Scheduling Coordinator within Greater Vision plays a vital role in supporting daily administrative operations. They report to the Healthcare Coordinator. This position ensures smooth and efficient operation of the corporate building and executive office, coordinating daily activities, managing projects.

The ideal candidate is self-motivated, professional, highly responsive, and able to handle sensitive information with discretion. They should possess strong organizational skills, a positive attitude, and the ability to thrive in a fast-paced environment.

Employment Details:

  • Employment Status: Full-Time Hourly
  • Pay Range: $17.00- $19.00 per hour
  • Schedule: Monday – Friday, 8:30 AM – 5:00 PM (Day Shift)
  • Location: 788 Montgomery Ave

Responsibilities:

What You’ll Do:

  • Be the first line of communication—screening and prioritizing calls, emails, and mail.
  • Assist with new staff onboarding and orientation scheduling.
  • Answer calls from clients, families, and team members with professionalism and care.
  • Coordinate staffing for nurses, therapists, and caregivers—keeping schedules running like clockwork.
  • Collaborate with HR, recruiting, and clinical teams to address staffing needs and fill gaps.
  • Submit weekly staffing reports and ensure compliance with visit verification requirements (EVV).
  • Monitor and approve field staff timesheets and missed visits.
  • Maintain key documentation, spreadsheets, and compliance reports.
  • Keep our office space organized, schedules up to date, and conference rooms booked.
  • Set up new hires in Axxess and HHAX, and help launch them into their roles with confidence!

  • Highly organized with exceptional attention to detail
  • Comfortable juggling tasks and shifting priorities
  • Professional and friendly communicator
  • Tech-savvy—familiar with scheduling software and Microsoft Office tools
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Ability to work independently and multi-task within a fast-paced team environment, emphasizing accuracy and timeliness.

Bonus Points If You Have:

  • Experience in healthcare staffing or home health services
  • Familiarity with Axxess, HHAX, or EVV systems

Education & Experience:

  • Required: High School Diploma or GED.
  • Preferred: Associate’s degree.
  • Experience: Prior experience in healthcare administration, home health, or office support preferred.
