Active Beauty is looking for an Account Coordinator to provide main support to the Head of Sales, NOAM, while gaining hands-on experience with Givaudan's briefing and project management systems. You will work with a dynamic, collaborative team and build professional relationships across our teams and with key clients. Responsibilities include managing projects, coordinating high-profile events, and supporting the growth of new Indie Brands.
Reports to: Active Beauty Head of Sales, NOAM
Your location: New York City, NY (Onsite)
You Will:
- Manage leaflet stock and send it to customers when needed.
- Prepare customer presentations by adding/removing slides to existing Skin, Hair, Makeup, and other decks.
- Obtain regulatory documents in our database (AB Labs) or from the central regulatory department.
- Obtain quality documents in AskMe or from central quality documents.
- Send samples to customers.
- Account for sample stock, replenish the sample room, and order samples from French and Swiss sites.
- Keep stock for marketing finished products (S3Ds) and send to customers.
- Print posters for customer meetings.
- Coordinate office needs for the team, including conference room reservations, organizing VIP customer meetings, and managing furniture.
- Support Active Beauty events in NYC, including cocktails, customer events, and large dinners.
- Support trade show execution with marketing.
- Support internal sales initiatives, including new Indie Brands.
Your Profile:
- Bachelor's Degree required.
- 2+ years of experience in an administrative role.
- Excellent administrative and computer skills, including MS Office suite and company platforms.
- Manages multiple tasks and projects with defined organizational methods, clear scheduling, and effective time management.
- Works with team members according to assigned roles and project requirements, following established procedures.
- Follow business operations, follow customer-related processes, and communicate information as required; French language skills are a plus.
Compensation and Benefits
The established salary range for this position is $70,000-$85,000 annually. Actual compensation will depend on individual qualifications. Medical, dental, and vision coverage and a high-matching 401(k) retirement plan.
