POSITION SUMMARY

The Donor Care Assistant is responsible for providing support in the areas related to donor care which includes processing gifts from donor mail and other sources, records and receipts the gifts, maintains the donor data base (Bloomerang) and analysis of donor demographics.  Requires well developed keyboard/computer skills, accuracy, confidentiality, high levels of tact, telephone friendliness and ability to work as a team member.

  • Full - time hourly position with benefits
  • Remuneration: Grade 6 ($25.18 - $35.93)

ESSENTIAL JOB FUNCTIONS

  • Collects and opens donor mail each day; forwards as appropriate to other staff members.
  • Codes/posts checks and other items in Bloomerang database, and processes credit card gifts.
  • Organizes checks and vouchers with summaries and delivers them to the AWR accountant.
  • Processes transactions, foreign donor gifts and information into database
  • Updates/maintains donor services database information e.g. addresses, phone numbers, notes.
  • Prints receipts, thank you letters, and mails them out.
  • Identifies potential major gift donors and refers information to supervisor.
  • Reconciles financial income reports from the AWR accountant with donor records.
  • Provides address lists for the monthly direct mail appeals, Transmissions magazine and gift catalog.
  • Serves as Bloomerang specialist and oversees data entry. Serves as the contact person for staff and trains new employees on the system. Oversees maintenance and provides access to staff for
  • Is the contact person for staff regarding Bloomerang and helps train new employees on the system, overseeing maintenance of database, making sure staff has appropriate access.
  • Ensures database data is accurate and up-to-date. Performs audits, analysis, etc.
  • Generates reports, such as donor income reports and donor lists of recent gifts for solicitors, etc., as requested by supervisor.
  • Analyzes current donor demographics and profiles, selecting donors needing visit/contact, and prepare donor profiles and travel directions for solicitors.
  • Segments the donor database into various categories for appropriate treatment, mailings, recognitions, and materials.
  • Schedules in-person visits to special donors through the year.
  • Help AWR Ambassadors run reports for visitation purposes.
  • Prepares and sends out annual statements to donors.
  • Oversees all AWR Canadian transactions and uploads them to AWR’s database.
  • Orders all mailing supplies related to direct mail/donors.
  • Deals with complex questions and problems donors may have about donations and refunds, including sending letters to solve these situations.
  • Works closely with AWR’s web manager and developer to help identify problems with donor credit card transactions and other issues with the giving software.
  • Helps answer the donor 800 line.
  • Trips to the bank and post office as needed.
  • Serves as member of AWR Leadership Staff and planning meetings.
  • Maintains necessary donor services files.
  • Must be a member in regular standing of the Seventh-day Adventist Church.
  • Must maintain a regular and reliable attendance schedule.
  • Other responsibilities as assigned.

QUALIFICATIONS

Education and Experience

  • Bachelor’s (BA/BS) degree required, preferably in the area of business administration. Appropriate successful work experience may be acceptable in lieu of scholastic requirements.
  • Operational knowledge of Bloomerang software is preferred.
  • Three years previous experience is required to gain the skills and knowledge to perform job duties.

 Knowledge Skills & Abilities

  • Knowledge of principles, policies and beliefs of the General Conference and the Seventh-day Adventist Church. Knowledge of church employment policies and practices helpful.
  • Ability to maintain neatness and order, organization and a pleasant disposition in dealing with others.
  • Requires knowledge of up-to-date office procedures such as filing, telephone techniques, office equipment (including computer, etc.), and English language usage (spelling, grammar, punctuation, etc.) skills.
  • Ability to perform clerical and support duties with speed and accuracy without constant supervision.
  • Must have the ability to work under pressure and with interruptions. Position requires keyboard speed. 
  • Absolute confidentiality required at all times.
