This is a per diem position working various hours a week.

WORK ENVIRONMENT
The professional in this position reports to the Director of Operations. This position works closely with Samaritan Clinics professionals and other healthcare professionals in order to provide high quality services to all customers.
ESSENTIAL FUNCTIONS
- Ensure all incoming calls are promptly and courteously answered and customers are assisted in a friendly, professional manner. When appropriate, direct the caller to the appropriate staff member, department, or medical practice. Customers presenting in person for appointment or other business are to be greeted in the same professional, accommodating approach.
- Responsible for scheduling appointments for patients to meet with providers and maintain knowledge of provider preference in how patients are scheduled in the system ensuring a successful patient/provider encounter. Scheduling/Data Entry in Epic and or other systems as appropriate.
- Accountable for obtaining accurate billing and insurance information and to promptly and properly verify data. Record all pertinent information into the electronic system, i.e. DSHS, HMOs, L&I, commercial insurance, etc.
- Complete insurance verification eligibility for all insurances before patient’s appointment.
- Accept payments from customers; understanding patient bills, diagnosis codes, and charges in order to accurately process the payment. Collect co-pays and maintain cash drawer to complete daily deposits alerting Supervisor in the event of any discrepancy or concern.
- Prepare encounter documents for patient visits.
- Supply customers the release of information (ROI) form for all medical records requests.
- Responsible for routing all clinical scope of practice questions, faxes, and requests to the appropriate nursing staffing, including prescriptions, test results, new requests, medicine dispensed at schools, lab slips, etc.
- Request supplies and/or minor equipment for maintaining the office.
- Responsible for the pre-registration and registration of all new patients whom need our services, in a considerate, accurate/efficient and timely manner.
- Ensure that all insurance information is promptly and properly verified. Identify and obtain proper authorization for the treatment of managed care patients and record all pertinent information in account comments. Includes monitoring dashboard for denial management.
- When the service need is emergent coordinate with clinical staff for patient’s immediate care.
- Ensures all necessary forms, letters of non-coverage, and questionnaires are completed and signed accurately.
- Ability to read and translate codes on a DSHS eligibility form and recognize what services are and are not covered and when authorization is needed.
- Answer multi-line phone quickly and courteously. On phone or in person, answer patients/payers questions regarding accounts, physician information, and other concerns.
- Balance cash drawer at beginning or end of shift as appropriate.
- Liaison with Samaritan Healthcare HIM staff on to provide complete records for patient care coordination.
- Provides onsite patient coordination with PFS department to ensure smooth billing and collection process.
- Coordinate with HIM, PFS, and Providers to establish and maintain a documentation process which allows for timely hospital billing to patients, documents time worked at hospital for cost reporting and minimizes duplicate efforts.
- Provide medical records to specialists and primary care providers for coordination of care.
- Phone for referral appointments; assist with obtaining insurance clearance or prior authorizations and document in patient charts.
- Establish and maintain a laboratory verification process and assist with timely physician correspondence to patient families.
- Establish and maintain a referral coordination process that ensures timely patient care and primary care provider receiving current care plans from specialist.
- Maintains professional growth and development through seminars, workshops and professional affiliations to keep abreast of latest trends in field of expertise.
- Ensures no injuries to self or others by following safe work practices and policies. This includes, but is not limited to: security and safety, understanding of MSDS, equipment, infection control, fire, disaster, safe lifting and body mechanics.
- Ensures self-compliance with organization policies and procedures as well as labor agreements.
- Ensures the interface with team members and other support groups is conducted in a courteous and efficient manner conducive with the organization’s values.
- Conducts self in a professional manner and ensures personal appearance meets the standards necessary to perform the job function while representing the organization.
- Ensures that additional accountabilities, as may be required by management, be handled in a manner necessary to meet organizational standards.
EDUCATION & EXPERIENCE
- Education:
- High school diploma or equivalent required.
- Associate’s degree preferred.
- Experience:
- Working knowledge of medical terminology Minimum of two years clerical experience in a health care setting.
- Experience working with the public providing excellent customer service.
- Experience or training in basic bookkeeping and math skills.
- Skills/Competencies:
- Ability to prioritize multiple tasks to meet deadlines.
- Knowledge of third party procedures and familiarity with online tools.
- Strong computer skills using MS Windows programs, with an emphasis in troubleshooting system problems and interfacing with other computer software.
- Ability to maintain the highest level of confidentiality and integrity.
- Ability to work independently and as a team.

PHYSICAL REQUIREMENTS:
- Occasional standing, walking, lifting, reaching, kneeling, bending, stooping, pushing and pulling. Light physical effort, ability to lift/carry up to 10 lbs. (supplies and equipment).
- Manual dexterity.
- Good reading eyesight; color vision – ability to distinguish and identify different colors.
- Ability to communicate using verbal and/or written skills for accurate exchange of information with physicians, nurses, health care professionals, patients and/or family, and the public.
