SUMMARY
The Attendance and Student Records Administrator responsibilities include the documentation and processing of student attendance records, coordinating and preparing reports, maintaining student records requiring compilation and classification of varied and confidential information. The duties include active campus supervision during the school day. This position reports to the Chief of Staff. the hours for this position will be 7:45am - 4:15pm, Monday through Friday.
Essential duties and responsibilities but not limited to:
- Monitor student attendance and determine students who are at risk of becoming chronically absent.
- Run daily and weekly attendance reports, update and correct student records, and excessive absence letters
- Clearly communicate with counselors, teachers, and administrators about attendance concerns
- Coordinates with the Chief of Staff on the process of communicating with parents/guardians over attendance concerns
- Process attendance infractions and detention slips for tardies
- Track student attendance in the SIS for field trips, health suite visits and other special activities
- Maintain contact with families of students with attendance concerns
- Conduct home visits related to attendance concerns
- Enforce the importance of good attendance with the student and their families
- Conduct schoolwide attendance incentives
- Attend state and other trainings as needed
- Student Monitor Duties:
- Initiates and cultivates positive relationships with students, staff, parents, and other visitors.
- Be present, friendly, and visible on campus.
- Actively supervise students (circulating among students) during the school day
- Functions as the primary campus monitor during open times (i.e. - before school, class transitions, lunch, after school, in hallways)
- Check in students, guests and provide visitor passes, including checking in guests for school events during school hours (i.e. - assemblies, etc.)
- Assists with school-wide safety plan and emergency protocols
- Adheres to strict confidentiality related to student and personnel information
Records Management & Compliance:
- Maintain accurate and up-to-date student records, including enrollment, attendance, transcripts, grades, and demographic information.
- Ensure compliance with FERPA, state, and policies regarding confidentiality and data privacy.
- Oversee the timely collection, entry, and verification of student data in the student information system (SIS).
- Monitor and audit records for accuracy, making corrections as needed.
- Process requests for official transcripts, report cards, verification of enrollment, and other student record-related documents.
- Support staff, faculty, and administrators with access to student data and training on record-keeping systems.
- Assist with registration and other enrollment processes as needed.
Data Reporting & Analysis:
- Generate and distribute required reports for internal use, state agencies, and board reports.
- Provide data and analysis to support academic, administrative, and compliance-related decisions.
- Track and report student attendance progress.
Office Duties (Back Up/As Needed):
- Greet and welcome students, parents, and visitors in a friendly and welcoming manner
- Answer and route phone calls
- Answer questions about general information
- Working knowledge of office
- Assist with photocopying and other office projects, if needed
- Perform other duties deemed necessary.

- Highly developed written and verbal communication skills. Ability to communicate effectively with the public, parents, students and staff. Ability to establish and maintain good working relationships.
- Ability to work under pressure of simultaneous deadlines and stress of frequent interruptions.
- Ability to exercise discretion in the protection of confidential information concerning students, parents/guardians, and staff.
Requirements
Minimum Qualifications
- Two years administrative or clerical work, including data processing and record-keeping
- A minimum of High school diploma with two years’ experience working in a high school. Bachelor degree preferred.
