The NAACP Legal Defense & Educational Fund, Inc. (LDF) is the country’s first and foremost civil and human rights law organization. Founded in 1940 under the leadership of Thurgood Marshall, who subsequently became the first Black U.S. Supreme Court Justice, LDF was launched at a time when the nation’s aspirations for equality and due process of law were stifled by widespread state-sponsored racial inequality. LDF’s litigation, public policy advocacy and public education programs in the substantive areas of criminal justice, economic justice, education, and political participation seek to ensure the fundamental and basic human rights of all people to quality education, economic opportunity, the right to vote and fully participate in democracy, and the right to a fair and just judicial system. LDF operates in a hybrid work environment where employees are expected to be in the office a minimum of two days per week, unless otherwise indicated.
Position Summary
LDF seeks a highly skilled and proactive Administrative Assistant to support the Director and Deputy Director of the Community Organizing Department. This role is central to ensuring smooth day-to-day operations of the department through high-level administrative support, project coordination, and operational oversight. The Administrative Assistant will manage sensitive information with discretion, facilitate interdepartmental communication, and support key programmatic priorities advancing racial justice and community organizing.
This position requires the ability and willingness to travel up to 50% of the time, including for events, retreats, convenings, and on-the-ground support for fieldwork as needed.
Key Responsibilities:
Executive Support & Operations Management (60%)
- Provide high-level administrative and operational support to department leadership.
- Manage complex calendars, schedule meetings, coordinate travel, and prepare detailed briefing materials.
- Oversee department operations, including developing and streamlining procedures and workflows.
- Serve as a liaison with internal and external stakeholders, managing sensitive communications.
- Maintain organized filing systems (digital and physical) with attention to confidentiality and accessibility.
- Support department-wide coordination and tracking of internal processes, priorities, and deliverables.
Document & Communications Management (20%)
- Draft, format, and proofread internal and external communications, reports, and presentations.
- Take meeting minutes, maintain project tracking documents, and support data organization.
- Support knowledge management practices and ensure clarity and consistency in departmental records.
Event & Meeting Coordination (10%)
- Plan and coordinate internal and external department events, including logistics, agendas, and follow-up.
- Support preparation for convenings, retreats, and community-based events.
Financial Administration & Confidentiality (10%)
- Assist with department budget tracking, expense reports, and invoice processing.
- Handle confidential personnel and strategic materials with the highest level of discretion and professionalism.
- Ensure alignment with organizational financial policies and procedures.
Qualifications:
Required
- Minimum 7 years of experience in executive support or administrative operations, preferably in nonprofit or advocacy organizations.
- Proven track record in calendar and travel management, workflow optimization, and stakeholder coordination.
- Exceptional writing and editing skills.
- Strong command of Microsoft Office Suite, Google Workspace, and project management tools (Asana, Airtable, EveryAction).
- Ability to manage multiple priorities and deadlines with minimal supervision.
- Strong interpersonal skills with a commitment to racial justice, equity, and movement values.
- Experience handling sensitive and confidential matters.
- Willingness and ability to travel up to 50% of the time.
Preferred
- Experience working in civil rights, racial justice, or social change organizations.
- Familiarity with budget and expense tracking.
- Experience supporting hybrid or remote teams.
- Bachelor’s degree in business administration, nonprofit management, or a related field.

The salary range for this position is $70,000-$85,000
