Job Summary:
This position provides transcription and telephone answering services for assigned department staff. Operates and maintains word processing file directories on personal computer.
Duties & Responsibilities:
Transcribes various documents for team members, including letters, memos and faxes from dictation, handwritten notes and generated tasks. Creates labels for envelopes and contact cards. Proofreads documents and encloses appropriate pamphlets; delivers documents to the requestor. Upon request, identifies and copies documents to enclose with correspondence.
Accesses claim information and retrieves data to confirm names, addresses, spelling and other relevant information.
Creates coverage phone list for team members and provides list to organization.
Answers the telephone, relays calls, takes and delivers messages for the team.
Prioritizes work based on need of the team members.
Requests and reviews client files as part of the file release process. This includes but not limited to ensuring all information is in relation to current file and prepares a cover letter. Responsibilities also include tracking timelines and sending the file for mailing to the worker and at the prescribed time frames to the employer/representative.
Maintains confidentiality of work performed.
Participates in CPI related initiatives/reporting.
Organizes and maintains network directories for saved documents.
Participates in meetings and if requested takes minutes of the meeting as a member of the team.
Assists others with learning; locating and accessing departmental policies and procedures.
Maintains office equipment, replenishes paper, removes paper jams and notifies I.T. of any other issues. For Saskatoon, office equipment includes the mail machine in the Saskatoon office, coverage for the receptionist will also be required for periods of vacation, coffee/lunch break coverage, or other absences. Duties include sending and receiving mail and courier packages, processing payments, and documentation of these transactions. As well as handling general inquiries from employers and workers.
Qualifications:
One (1) year successfully completed post secondary training in office education.
Six (6) months successful experience demonstrating the ability to do the following:
Proficiency in typing at a rate of 50 net words per minute.
Knowledge of punctuation, spelling, composition of business letters and grammatical usage.

Proficient in Word Processing
Good clerical aptitude.
