The Sr. Executive Coordinator reports to the Vice President (VP) of Global Industrial Aftermarket will manage the VP’s operating cadence by performing advanced, and confidential administrative duties requiring broad experience, skill and thorough knowledge of the organization’s policies and procedures. This role is pivotal in driving alignment between functions (product management, supply chain, sales, finance, digital, and service) and across regions (North America, EMEA, LATAM, SEA, China). This position is designed to support long-term career development and progression.
The Sr. Executive Coordinator will maintain records and files and perform other administrative duties as required and requested. This role will schedule travel, appointments, and meetings, manage calendars, travel & expense administration, create reports and communications. This individual will screen calls, emails, mail, and visitors; route and resolve information requests. This is a high-visibility role that requires a business mindset and the ability to operate cross functionally across a global industrial aftermarket manufacturing enterprise.

Responsibilities:
Set up appointment schedules and keep appointment calendars in order.
Manage internal and external group lists.
Maintain confidential records and files.
Schedule international and domestic travel arrangements to include ground and air transportation, hotel accommodation, and event scheduling.
Assemble and submit Expense Reports. Review and approve Expense Reports for staff members
Create Purchase Orders for select functions and vendors.
Produce, assemble, and format key documents for executive meetings.
Aid in creating and editing PowerPoint presentations. Coordinating work across team members for presentations, materials for deadlines
Manage office purchases (supplies, business machines, cleaning, water cooler, etc.) - Manage supplies and track supply budgets.
Tracks vacation for departmental personnel.
Assist in coordination of internal meetings and conferences. Assist with large customer events.
Partner with the VP to monitor and communicate aftermarket strategy and growth initiatives.
Support global internal and external communications on behalf of the VP, including strategic updates and organizational announcements.
Prepare presentations, executive updates, and briefing materials.
Prioritize and structure the VP’s time to balance strategic and operational focus.
Maintain a knowledge base of past decisions, policies, and reference materials.
Qualifications:
Bachelor’s degree preferred.
Experience in industrial manufacturing, aftermarket, supply chain, or related global business environment preferred.
Strong proficiency in Microsoft Word, Excel and Executive presentation tools (PowerPoint).
Exceptional communication and executive writing skills.
A collaborator with a strong service orientation and customer focus is a must.
An individual who is professional, has a high energy level, and has demonstrated initiative.
A high degree of discretion, confidentiality, integrity, and emotional intelligence.
Strong organizational and time management abilities; able to handle multiple priorities under tight deadlines.
Ability to work effectively across cultures, regions, and time zones.
The hourly rate range for this position is $24.35-$30.45. The specific hourly rate offered to a candidate may be influenced by a variety of factors including the candidate’s experience, their education, and the work location. Available benefits include medical, dental, vision & 401k.
