WHAT YOU'LL BE DOING

This position is responsible for maintaining the accuracy and integrity of freight, fleet maintenance, and fleet-safety-related purchase orders and billing records. This position ensures that all invoices, purchase orders, and supporting documentation are appropriately received, verified, and processed promptly. The ideal candidate will be detail-oriented, organized, and capable of working in a fast-paced environment while maintaining accuracy and precision.

A highlight of your day to day will include:

• Manage Fleet & Freight Emails by downloading Invoices and routing to pending folders or to branches as appropriate.
• Apply Accounts Payable (AP) stamp to invoices and code invoices.
• Match PO invoices to purchase orders and receivers.
• Send daily scans of coded and “balanced” invoices to our Corporate Accounting team.
• Manage the resolution of “Unbalanced” invoices, including:
  1. Maintain accuracy of purchase orders (POs) by updating detention charges and other accessorial fees as needed.
  2. Update receivers to include information on approved accessorial fees, including attaching back-up for approval.
  3. Communicate with carriers, vendors, and internal teams to resolve discrepancies or obtain missing documentation.
• Assist Office Manager with weekly/ monthly reviews of open POs and receivers in the system to ensure timely resolution and closure.
• Assist Office Manager with Vendor Statement Reconciliations (Monthly).
• Assist Office Manager with Vendor Master File updates (As needed).
• Assist the Office Manager with root cause analysis and continuous improvement related to “over 30” invoices.
• Assist in making sure all Proof of Delivery (POD) documents are received and correctly uploaded into the system.
• Support the transportation teams with other billing and administrative tasks as assigned.

WHO WE ARE LOOKING FOR

The ideal candidate will possess a demonstrated history of success in freight billing, transportation and logistics.  Prior experience in accounting is a plus.

Other desired qualifications include:

• High school diploma or equivalent required; additional education in accounting, business, or logistics preferred.
• Strong attention to detail and organizational skills.
• Ability to manage multiple tasks and deadlines.
• Proficient in Microsoft Office Suite (Excel, Outlook, Word); experience with ERP/accounting systems preferred.
• Strong communication skills and ability to work both independently and as part of a team.
