Under the guidance of the Head and Deputy Head of Admissions, the post holder will:
  • Ensure delivery of an outstanding and timely end-to-end admissions process, from initial enquiry to enrolment.
  • Work collaboratively to ensure continual development of the admissions process, to meet business demand and need.
  • Provide leadership to colleagues in academic Schools and Colleges, and other professional services. in utilising the enhanced admissions processes and, where approved, support developing their own processes aligned to admissions and recruitment, providing specialist advice and guidance.
  • Ensure successful delivery of key events, such as Confirmation and Clearing (C&C).
  • Represent Admissions at internal and external events/meetings.
  • Manage external operational partnerships in relation to admissions to ensure standards and contractual obligations are met and that partners have a key point of contact for admissions queries.
Working within the Admissions team, you will be a member of the Senior Admissions Management Team, with responsibility for the leadership and oversight of the operational process and processing team/s within Admissions, under the guidance of the Deputy Head of Admissions and in support of the Academic Schools and Colleges.

This is a full-time post, fixed-term for 4 years.

Salary: £41,064 – £46,049 per annum (Grade 6)

Job Description

Key duties
  • Work with the academic Schools and Colleges to ensure that the strategic recruitment objectives/requirements are met through the admissions process.
  • Work with other professional service departments to ensure that the admissions operation meets the needs and requirements of related areas.
  • Lead the operation of the Admissions team through effective workload planning, organisation, communication and delegation of work where appropriate, taking appropriate action and making independent decisions as required.
  • Use data provided by the Admissions Data/BI Teams to balance workloads and plan resources effectively.
  • Develop admissions processes to meet and (where possible) exceed applicant expectations and business needs, including evaluating system, digital, and IT developments.
  • Under the leadership and direction of the Deputy Head of Admissions, ensure successful delivery of Confirmation and Clearing (C&C).
  • Under the leadership and direction of the Head of Admissions, ensure successful delivery of admissions for strategic partnerships. Ensuring the success of partnership admissions by making certain that all stakeholders and teams involved are undertaking their roles and tasks to the required standard and providing up-date reports to the Head of Admissions to show actions taken and those outstanding, escalating any issues and concerns as appropriate.
  • Lead on the provision of timely, up-to-date and accurate start of cycle and in-cycle admissions information to internal stakeholders, and ensure any information provided throughout each cycle is accessible/clearly communicated.
  • Oversee the performance, induction, and development of the team with the support of the Team Leaders.
  • Work with the Team Leaders to manage the delivery of all admissions processes relating to entry onto taught and research programmes. This includes the collection, approval and updating of entry requirements ready for the start of each cycle.
  • Work with the Admissions Support Manager and Team Leaders to enhance admissions services and processes. This includes reviewing application requirements, enquiry management, communications, and system requirements ensuring any updates are delivered in a timely manner.
  • Support and guide team members in performance and welfare issues, escalating as necessary to specialist support areas.
  • Manage and take appropriate actions in relation to escalated issues, complex enquiries or errors relating to the admissions process.
  • Ensure the delivery of the team’s service level agreements, adapting these according to changes in workload and customer requirements.
  • Oversee and coordinate training in all areas relating to the team’s work, including C&C training.
  • Provide support to University projects relating to admissions.
  • Represent Admissions and the University and internal and external events.

Specific duties
  • Establish working relationships with key contacts to help improve service levels, developing appropriate communication links with the University’s Colleges/Schools/Directorates and external bodies as required.
  • Line management of Admissions Team Leaders in the Operations Team.
  • To deputise for the Deputy Head of Admissions/Head of Admissions as required.
  • Ensure the appropriate up-to-date recording of admissions processes and duties (provision of training and process manuals).
  • Work closely with the Deputy Head of Admissions to ensure sharing of information and to provide cover for each other during period of absence.
  • Manage external operational partnerships related to admissions to ensure standards and contractual obligations are met.

The Admissions Team is responsible for the provision and administration of the University’s recruitment process and policies related to admissions. This includes the provision of application processes, decision communication and maintenance of systems related to the admissions process.

Admissions plays an essential role in maintaining the reputation of the University through effective communication to the public and to external and internal stakeholders. The Admissions Team has a customer focused approach, and the team represents the University on a corporate level and involves all three academic colleges and constituent Schools.

The Admissions Team is responsible for key links with external bodies such as UCAS and the Russell Group and aim to influence admissions practices not only at a local but at a national level. The team works on an evolutionary basis, working flexibly to meet service needs and demands and is committed to providing a world leading applicant experience.

As well as primarily working on campus in various locations, there may be occasions where you will be able to undertake remote working (known as blended working). Due to the nature of admissions work there will be key points in the year where leave will be restricted, extended opening hours will be in operation, and occasional weekend working will be required. This will be primarily, but not exclusive to, confirmation and clearing in August and student enrolment and overtime and flexibility will be required during these periods.

Essential criteria
  1. Evidence of a Degree/NVQ4 qualification or equivalent professional experience/membership.
  2. Evidence of substantial experience of leading a large team, specifically within the HE sector, including experience of dealing with performance and welfare issues.
  3. Demonstrable evidence of ability to work independently, to make decisions under pressure and take responsibility and ownership at a senior level.
  4. Evidence of substantial experience of managing the work of a team, reacting to changes in workload and priorities, setting and managing deadlines, and proactively planning for future requirements.
