Salary/Pay Range: $ 46,350.00 - $55,000.00 annually. Compensation will be commensurate upon experience and qualifications.

Summary

Position  provides administrative support functions for all units within the Ent Center for the Arts. Operational areas supported include GOCA, THEATREWORKS, Artist Series, ECFA Production, ECFA Marketing, and the Box Office Enterprise. The position prioritizes tasks and provides information and interpretation remotely or in person to students, faculty, staff and the public. Helps identify and resolve problems regarding the above. The position is a department and campus resource and as such, must be able to search for answers to questions and provide accurate information to faculty, staff, and outside constituents.

Essential Functions

The duties and responsibilities of the position include, but are not limited to:

  • Act as a liaison for the Ent Center for the Arts (ECFA).
  • Respond to inquiries and requests for information made remotely or in person.
  • Provide primary administrative support to the Executive Director of the Ent Center for the Arts and ECFA in whole.
  • Organize and maintain information needed and used by the Executive Director of the Ent Center for the Arts.
  • Assist the Executive Director by providing calendaring and light event support (ordering catering, etc)
  • Determine urgency of incoming requests and coordinate timely completion.
  • Create and revise office processes and procedures to improve effectiveness and efficiency of ECFA business operation.
  • Examples of processes managed include procurement and contracting, ordering and tracking of supplies, financial tracking and reconciliation.
  • In cooperation with the Senior Director of Operations and the Assistant Director of Business Operations, monitor and make adjustments to numerous accounts to remain within overall budget limitations and to prevent deficit.
  • Utilize PeopleSoft Finance, the CU Marketplace, and CONCUR to complete the following: vendor set up, pay invoices, research and resolve billing problems, prepare POs, SPOs, expense vouchers, travel arrangements, and cash receipts.
  • Prepare / process contracts and invoices.
  • In cooperation with the Senior Director of Operations and the Assistant Director for Business Services, ensure superior customer service on the part of the Ent Center for the Arts.
  • Provide administrative support as the DRL/PPL for all areas reporting to the Executive Director of the Ent Center for the Arts.
  • Responsible for calculating, compiling, entering, and tracking leave taken by individuals reporting to the Executive Director of the Ent Center for the Arts.
  • Process all personnel forms related to hiring, maintaining, and termination of Ent Center for the Arts contract, professional, and student staff.
  • Processes all student payroll for UCCS Presents programs. Ensures student files are up to date and serves as primary department liaison to the Student Employment office.
  • Serves as primary liaison with campus IT services for copier/fax/printer vendors, and for departmental network storage access.
  • Authorizes notices for posting on the ECFA back-of-house bulletin board.
  • Works on additional projects as requested by the Executive Director of the Ent Center for the Arts, Senior Director and Assistant Director of Business Operations.

  • Must have experience in an occupational field related to the work assigned to the position.
  • Appropriate education will substitute for the required experience on a year-for-year basis.
  • A Bachelor’s degree from an accredited institution is preferred.
  • Highly qualified applicants will have experience working with students in a higher education environment.
  • Procurement experience is preferred.
  • Experience with computer systems and processes is preferred.
