SUMMARY:
The Project Coordinator is responsible for providing administrative and organizational support with ongoing commercial and FF&E (Furniture Fixtures & Equipment) related projects. This includes monitoring project details from onset to completion, including training, inspecting, and reporting, as well as receiving, inspection of goods, scheduling, inventory control requests, and any other requests from customers to ensure projects are on schedule and meeting client expectations. In essence, a Project Coordinator is the organizational backbone of a project, handling the day-to-day operational details so that the project can progress without administrative bottlenecks. They are crucial for maintaining order, facilitating communication, and ensuring that all necessary resources and information are in place.
KEY RESPONSIBILITIES:
- Support, maintain, and monitor multiple commercial move projects with team.
- Receive, inspect, and separate goods, keep accurate inventory, and communicate directly with clients.
- Complete receiving activities in accordance with the established receiving processes to ensure customer expectations and receiving deadlines are met.
- Enter orders into systems (NetSuite, Magaya, MoveHub) and prepare inventory, receive, and release reports.
- Maintains project documentation: This includes keeping project plans, reports, schedules, and other essential documents organized and up-to-date.
- Prepares meeting materials: They often create agendas, take detailed minutes during meetings, and distribute them to relevant stakeholders. They also follow up on action items to ensure tasks are completed.
- Manages communication: They handle project-related correspondence, ensuring information flows effectively between team members, stakeholders, and external parties.
- Communicate receiving errors to ensure corrective actions are identified and implemented.
- Assists with scheduling: They help in developing and maintaining project timelines, ensuring that tasks are scheduled appropriately.
- Monitors progress: They track the status of tasks and milestones, reporting on progress and identifying any potential delays.
- Manages deadlines: They help ensure that team members are aware of their deadlines and track their completion.
- Facilitates communication: They act as a central point of contact, relaying information and coordinating activities between various team members, departments, and external vendors.
- Organizes events: This can include scheduling and coordinating project meetings, workshops, training sessions, and presentations.
- Assists with resource allocation: They might help in tracking and coordinating the availability of resources, such as equipment, software, or meeting rooms.
- Handles logistics: This could involve arranging travel, accommodations, or ordering necessary supplies and materials for the project team.
- Track deliveries and troubleshoot order issues with vendors.
- Escalate recurring issues to management.
- Assist in daily management of the calendar.
- Accurately and timely complete all tasks assigned by the supervisor.
MINIMUM QUALIFICATIONS:
- 1 + years of receiving experience in a warehouse or remote environment.
- 2 + years of previous project coordinating experience.
- Valid driver's license and maintain MVR
- Working knowledge of Microsoft Office Outlook, Word, and Excel.
- Forklift experience a plus.
- Commitment to safety as demonstrated through previous work.
- Ability to multitask under pressure in a face-paced environment.
- Personal accountability with a customer-focused sense of urgency.
- Exceptional interpersonal and communication skills; possess good phone and email etiquette.
- Ability to work effectively both independently and as part of a team.

- Must be able to read, write, and comprehend English proficiently.
- Willingness to work flexible hours and weekends as required.
