Job Summary:

Position requires utilization of clinical knowledge to schedule appropriate procedures/surgeries per provider’s orders. The Surgical Scheduler must schedule office based and hospital procedures consistent with the patient’s diagnosis and procedure request. The Surgical Scheduler will also be responsible for performing the necessary financial clearance processes, i.e., eligibility, verification, pre-certification and pre-service collections to secure the series to be provided. The Surgical Scheduler must be able to respond to both written and oral correspondence regarding scheduling changes/cancellations in a timely, accurate manner. 


Responsibilities:

  • Schedules office and hospital based medical procedures, for patients with appropriate provider and time/location slot, utilizing appropriate scheduling code. 
  •  Obtains and inputs accurate registration data, such as patient demographics, insurance information, and clinical data.  
  •  Interfaces with appropriate hospital staff to ensure a cohesive working relationship in providing patient care serves 
  •  Performs insurance eligibility and verification as well as pre-service collections for scheduled and unscheduled services.
  •  Enters notes/special instructions needed for scheduling in the electronic medical record. 
  •  Effectively utilizes clinical knowledge when determining if appointment is consistent with the diagnosis/indications indicated by the provider. 
  •  Completes accurate documentation of informed consent with patients for procedures and surgeries as needed. 
  •  Provides accurate, detailed information to patients regarding test preparations, time of patients scheduled arrival, and any other directional information needed; takes appropriate action in responding to questions from patients. 
  •  Confirms patient’s insurance provider and either obtains prior authorization or communicates need for prior authorization to appropriate parties as needed. 
  •  Ensures patients have proper medical clearance and pre-surgical testing as needed. 
  •  Completes pre-procedure phone calls and confirms appointment times with patients via telephone. 
  •  Ensures completion of assessment for advance directive, including DNR when applicable. 
  •  Reviews discharge instructions with patients and ensure proper follow-up appointments are scheduled at the time the procedure is scheduled. 
  •  Performs all aspects of patient care in an environment that organizes patient safety and reduces the likelihood of medical/health care errors. 
  • Utilizes courteous and professional telephone techniques and interpersonal skills to establish and maintain rapport with patients, physicians/office staff and hospital personnel. 
  •  Assists other members of the department as needed. 
  •  Perform other duties as assigned. 
  •  May travel to other CLS clinics as needed.

Requirements

The Scheduler I is responsible for managing the scheduling of surgical procedures at the appropriate facility, and communicating with the patient, physician, and medical staff regarding surgery. Primary responsibilities of the Surgery Scheduler I include coordinating all necessary pre-op appointments, filing authorizations, ensuring record accuracy, ensuring the required timetable to the patient is maintained, and updating all relevant parties regarding rescheduling. The Surgery Scheduler I must have previous healthcare and scheduling experience, and knowledge of medical terminology. The Surgery Scheduler I should also be able to multi-task and works closely with clinic staff, physicians, and patients to ensure procedures are scheduled timely and effectively. The Surgery Scheduler I must have excellent time-management skills and must be aware of the physician and location's availability in order to schedule procedures effectively.


EDUCATION & EXPERIENCE: 

Minimum of a High School Diploma 

Minimum of 2 years’ experience in healthcare scheduling, or equivalent combination of education and experience. 

Minimum of 2 years’ experience contacting insurance providers and verifying insurance.

Familiarity with managed care contract requirements as they pertain to pre-cert and authorization processes.

Medical terminology experience and applicability


QUALIFICATIONS & REQUIREMENTS: 

Bilingual -Spanish Required 

Must demonstrate consistent professional conduct and meticulous attention to detail. 

Must be organized,and be able to manage demanding workload with accuracy. 

Must possess excellent verbal and written communication skills as well as interpersonal skills with patients, staff, and other healthcare professionals. 

Critical thinking skills and a positive attitude essential.
