About the Department
The Global Languages and Learning (GLL) Coordinator plays a key supporting role in the daily operations of the Department, assisting the GLL Director in the delivery of services to adult learners enrolled in the English as a Second Language (ESL) and General Educational Development (GED) programs. The GLL Program helps students build foundational academic skills, earn their high school equivalency diploma, improve English language proficiency, and transition successfully to college courses and career pathways. The Coordinator contributes to these efforts by helping to organize multiple levels of English instruction, supporting student progress in GED coursework, and assisting in the development of pathways aligned with college readiness. Additionally, the position provides administrative support for CEA accreditation to help ensure that all programs meet high-quality instructional and administrative standards.
Position Duties
Key Responsibilities:
- Confidentiality & Ethical Standards: Maintain strict confidentiality with sensitive student data, adhering to high ethical standards and integrity in all tasks.
- Team Collaboration: Work closely with the Director, instructors, and administrative staff to ensure the department’s smooth operation. Share best practices and resources to enhance program effectiveness.
- Communication & Cultural Competence: Demonstrate strong communication and interpersonal skills. Build rapport with adult learners and colleagues, respecting diverse cultural backgrounds.
- Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). Able to learn and use student information systems (e.g., Jenzabar, GED platforms) and other software (e.g., Outlook) to manage records, attendance, and reporting.
- General Support: Fulfill additional responsibilities as needed to support departmental goals and overall success.
- Duties as Assigned: Fulfill additional responsibilities as assigned to support departmental goals and contribute to the overall success of the GLL Department.
Essential Duties:
- Student Records & Screening: Work with staff to maintain accurate student records, screen students for program eligibility, and coordinate testing.
- Resource Coordination: Organize and guide students in accessing college and community resources to support their educational journey.
- Event & Graduation Coordination: Plan and manage student events, including orientations, graduations, and other community activities. Conduct exit interviews with graduates to discuss further academic or career opportunities.
- Technology Support: Track and set up laptops for new students. Provide training on the use of Canvas, Zoom, and other platforms.
- Documentation: Order official GED diplomas and transcripts for graduates, ensuring accuracy and compliance.
- Filing & Organization: Create and maintain both electronic and physical filing systems to manage student records effectively.
- Adaptability: Remain flexible and willing to adjust to a changing work environment, including potential evening or weekend hours.
Professional Development & Training:
The GLL Department Coordinator is expected to engage in professional development activities and trainings, including:
- Educational software webinars (e.g., Aztec, West Hills, Steck Vaughn, )
- Institutional trainings (e.g., Vector Solutions)
- National GED/ESL Conferences and related events
Work Environment:
- Primarily office-based with occasional off-site events or activities.
- Frequent interaction with students, faculty, staff, and the public.
- May require evening or weekend hours during peak activity periods (e.g., graduation, student’s orientations, presentations).

Physical Demands and Working Conditions:
- May occasionally lift or carry up to 20 lbs., and perform tasks requiring stooping or bending.
- Regular movement between seated, standing, and walking positions.
- Standard office environment.
Minimum Qualifications
Required:
- Associate’s degree or higher (preferred) or equivalent work experience in a related field.
- Strong administrative and organizational skills with attention to detail.
- Experience working with culturally diverse or underserved populations.
- Ability to manage multiple priorities while maintaining confidentiality.
- Proficiency in Microsoft Office Suite and the ability to learn new systems (e.g., Jenzabar, GED platforms).
Preferred:
- Experience working in education, social services, or a related field.
- Bilingual (Spanish/English) proficiency—oral and written.
- Familiarity with GED testing processes and platforms.
- Knowledge of FERPA and data privacy regulations.
- Prior experience in a bilingual setting.
