About the role

Are you passionate about delivering exceptional customer service and ensuring smooth operations? Harvard Recreation, managed by HealthFitness, is looking for a dynamic and dedicated Coordinator of Membership and Operations to join our vibrant team on campus in Cambridge, Massachusetts. In this role, you will work closely with the Assistant Director of Membership to uphold the highest standards for our community. Your responsibilities will include providing top-notch service to our members, assisting with departmental tasks, and managing general administrative product orders. Responsible for delivering strong customer service to members and assisting the Membership Managers with departmental tasks and general administrative product orders.

Key Accountabilities:

Membership Office Responsibilities

  • Answer phone calls and properly directs inquires, check emails and respond to questions members/prospective members have about memberships or anything related to Harvard Rec.
  • Conduct membership, add-on services, and locker rental sales within the Membership Office.
  • Work on the back end of Fusion to make updates for group ex, tennis, squash, or any other programs.
  • Create financial reports of all membership and product sales from all facilities.
  • Update website information when necessary.
  • Assist Club Sport and Intramural staff with facility access within Fusion for the club/intramural coaches.
  • Oversee nightly locker clear out and lost and found procedures.
  • Help process approved membership refunds.
  • Assist front desk membership questions and computer troubleshooting (Fusion, CC machine, GX Check-In).
  • Creation of visitor passes for various programs at Harvard.

Harvard Recreation Rock Wall Oversight

  • Accountability of the Harvard Recreation rock wall operations.
  • Oversight of Harvard Recreation rock wall staff, including hiring of staff, payroll, scheduling, training, performance, and employee documentation oversight.
  • Responsible for general upkeep, cleanliness, and safety of the Harvard Recreation rock wall, when it is in operation by recreation.
  • Oversight of supply, inventory, and cleaning equipment to ensure successful rock wall operations.
  • Enforcement of Harvard Recreation rock wall rules & policies.
  • Other duties as assigned.

General Administrative Duties

  • Meet weekly with Membership Managers to discuss updates on tasks/projects.
  • Run weekly inventories for all front desk’s items for sale (Mac, Hem, QRAC).
  • Keep track of departmental receipts from administrative purchases.
  • Responsible for scheduling the MAC conference rooms, which includes the recreation and varsity space.
  • Add Accident & Incident Forms to the online department Drive.
  • Updating the administrative information of recreation staff.
  • Other duties as needed/assigned.

Minimum Qualifications:

  • Associate's degree in sport management, recreation, student affairs, or related field or the equivalent combination of education and experience with 3+ years of related full-time experience. Bachelor's degree preferred.
  • Minimum of 2 years customer service experience.
  • Experience with Microsoft Office applications such as Word, Excel, and Publisher
  • Strong interpersonal communication and customer service skills including the ability to motivate others.
  • Competency in the delivery of HealthFitness and site-specific programs and services
  • Ability to work effectively both independently and as part of a team with enthusiasm, initiative, and creativity.
  • Must possess excellent organizational and time management skills.
  • Current Adult CPR/AED/First Aid certifications from American Heart Association, American Red Cross, National Safety Institute, or American Safety & Health Institute required by start date. (Note: certification must have an in-person component and not 100% online/OSHA compliant). If not current will have 30 days to obtain.
  • Availability to work 11:00am – 7:00pm Tuesday – Friday and 9:00am – 5:00pm on Saturdays.  Some additional weekends and evenings are required as needed. 

Preferred:

  • Experience working in campus recreation, collegiate athletics, or recreation/fitness.
  • Experience with Innosoft Fusion or other membership software.
  • Ability to effectively organize and prioritize work demands.
  • Ability to work effectively with all levels of individuals both within HealthFitness and the client organization.
