Title:  Administrative Assistant/Routing Coordinator for the Transportation Department.

 

This is an in-person opportunity at the transportation department offices at 39 Adams St. in Braintree.

 

This role is a full time, full year (including summers) position. Hours are 8-4 most days, with some need for flexibility. 

 

Reports to the Transportation Manager

  • Manage district-wide use of routing software (Traversa or other), including: 
    • Creating school year routes
    • Creating summer program routes
    • Special education transportation
    • On-going maintenance of routes, registration, software updates
    • Make proactive recommendations for improving efficiency and effectiveness of transportation department
  • Project manager for the transportation life cycle throughout the school year, including: 
    • Ensuring registration goes out on time
    • Pulling all routing information for school administrators prior to the start of school year
    • Advising/participating in drivers’ “bid day” as needed
    • Ensuring all bus passes are printed and distributed as needed
    • Assisting families as needed with bus registration or other transportation items
  • Help manage and respond to emails in the shared BPS transportation email account.
  • Answer phones in the bus depot as needed.
  • Assist the transportation coordinator with invoice/bill processing as needed, including reconciling transportation finances with the business office. Work with all schools in the district on an as-needed basis to ensure proper financial procedures are in place.
  • Backup to payroll coordinator and charter bus invoicing.
  • Assist with the usage and maintenance of bus cameras and GPS units, and provide training as needed for these systems. This will be done in collaboration with the IT project manager.
  • Ensure compliance with federal, state, and local procurement laws and draft appropriate documentation for BPS procurement processes (i.e RFQ/RFP/IFB) in conjunction with the business office.
  • Assist with the transportation department’s budget and planning.
  • Problem analysis, research (where required), and resolution for server administration issues and end-users’ needs relating to the Transportation Department.
  • Perform all other duties as assigned by the Transportation Manager or Superintendent of Schools.

Qualifications:

  • Bachelors Degree or equivalent experience preferred
  • Excellent communication and technological skills
  • Proficient in Microsoft Office and Google Suite
  • Willing to train in District software, Aspen and Traversa (experience preferred but not required)
  • Can work cooperatively with others and maintain a positive, professional attitude

Compensation:  Salary will be commensurate with experience.  Eligible for optional Health, Dental, Vision Insurance, as well as holidays and PTO.  This is a non-union position.
