Job Purpose
The Construction Administrative Assistant plays a key role in keeping construction projects on track. This position supports the Production Team by managing schedules, coordinating vendors, issuing purchase orders, and overseeing project documentation. If you are detail-oriented, organized, and skilled in Buildertrend software, this role allows you to make a real impact on project success.
Responsibilities
Production Support
Collaborate with the production team to ensure smooth project operations
Issue work orders and purchase orders, track acceptance, and coordinate change orders with accounting
Track project schedules and prepare draw projections
Acquire vendors and manage Buildertrend implementation for workflow efficiency
Pre-Construction & Post-Construction
Manage tasks using Pre-Job Tracker, including ordering surveys, elevation certificates, and maps
Oversee fixture and flooring orders, returns, and shipments
Update Buildertrend documentation and prepare project closeout paperwork
Coordinate client closing gifts and collaborate with accounting to finalize project closures
Administrative Duties
Maintain office supplies and answer calls professionally
Organize job files, upload builder files to Buildertrend, and ensure all permit-stamped plans are signed and filed
Vendor & Subcontractor Management
Onboard new vendors and subcontractors with complete documentation
Ensure understanding of the purchase order system and payment schedules
Prepare setup documentation in coordination with accounting
Event Planning
Organize subcontractor, client, and employee appreciation events and luncheons
Qualifications
2–4 years of experience with Buildertrend software
2–4 years’ experience as an administrative assistant or office manager in remodeling or home building
Detail-oriented, organized, and efficient
Excellent communication skills; professional and courteous
Strong follow-through and multitasking ability
