FSM Group, LLC, an aviation fuel management company with multiple locations in the US, has an immediate need for a Fuel Facility Scheduler position for aircraft fueling at its new Ronald Reagan Washington National airport operation. Overview:

This role is integral to the efficient and safe operation of our fuel storage facility, ensuring timely fuel deliveries to meet the demands of airport operations while adhering to safety and regulatory guidelines.

The role of Fuel Facility Scheduler is dynamic and requires adaptability, quick decision-making, and a proactive approach to ensure the continuous and efficient operation of the fuel storage facility, especially during critical periods of high demand or limited supply.


Responsibilities:

· Manage the timely scheduling of fuel deliveries and pickups, particularly during peak periods or unexpected shifts in demand or supply, by coordinating with suppliers, transportation providers, and internal stakeholders. This may require being on-call or maintaining flexible work hours to address urgent needs. Understanding the inherent urgency of the role, prompt responsiveness to unforeseen demands is imperative, necessitating immediate action and dynamic prioritization.

· Maintain detailed, continuous monitoring of fuel inventory levels, usage patterns, and consumption rates to accurately forecast future needs, preventing shortages or overstock situations. This includes anticipating peak times and ensuring an adequate supply to meet the airport's demands. This role requires occasional evening and weekend check-ins to monitor inventories, ensuring operational readiness. As a 24/7 responsibility, the individual must adopt an 'on-call' mindset, prepared to address any emergencies that may arise at any time.

· Act as the primary liaison between fuel suppliers, transporters, internal departments, and stakeholders, fostering strong relationships and facilitating effective communication to swiftly resolve any logistical issues. This role includes negotiating schedules, optimizing routes, and ensuring efficient logistics management for timely deliveries.

· Maintain accurate records of all fuel transactions, deliveries, quality checks, and compliance reports. Generate regular reports to track fuel usage, inventory levels, and scheduling efficiency.

· Address logistical challenges or scheduling conflicts promptly and effectively. Make informed decisions to resolve issues, considering factors like delivery timelines, fuel quality, and operational priorities.

· Identify opportunities for process improvements, cost reductions, and efficiency enhancements in scheduling, inventory management, and logistical operations.

· Develop and implement contingency plans for emergencies or unforeseen circumstances that might impact fuel supply or storage, ensuring minimal disruption to airport operations.

· Ensure strict adherence to safety protocols and regulatory requirements governing fuel storage and handling, conducting regular inspections and implementing necessary corrective measures.

· Limited travel to relevant facilities may be necessary for this role. Be prepared for occasional travel as needed to fulfill the demands of the position.

Requirements

 

Qualifications:

· Bachelor’s degree in logistics, supply chain management, or a related field (or equivalent work experience).

· Ability to maintain flexible work hours, including being available during peak times or adjusting schedules to accommodate urgent scheduling needs, ensuring timely and efficient fuel deliveries with an expectation for immediate and responsive actions.

· Proven experience in logistics, scheduling, or operations management, preferably in a fuel storage or aviation-related industry.

· Strong organizational skills with exceptional attention to detail and accuracy.

· Excellent communication and interpersonal abilities to collaborate effectively with various stakeholders.

· Knowledge of safety regulations and best practices in fuel storage and handling.

· Proficiency in using scheduling software, MS Office suite, and database management tools.

Physical Requirements:

· While the job may primarily involve office work, there might be occasions that require moving around the fuel storage facility to oversee operations, conduct inspections, or coordinate with on-site personnel. A reasonable level of mobility and the ability to move around the facility might be necessary.

· Understanding and adhering to safety protocols is crucial. This might involve wearing personal protective equipment (PPE) such as safety vests, hard hats, and safety goggles when on-site or in proximity to fuel storage areas.

· Much of the scheduling and coordination work might be done at a desk or computer workstation. Therefore, the ability to sit for extended periods while working on scheduling software, analyzing data, and communicating with stakeholders is important.

· The role might involve reading detailed reports, reviewing schedules, and communicating via phone or video calls. Good vision and hearing capabilities are essential to perform tasks effectively.

· Working in a fast-paced environment might occasionally lead to stressful situations, especially during high-demand periods or when dealing with unexpected logistical challenges. The ability to manage stress and remain focused on problem-solving is important.

· While not directly physical, an awareness of the environment in which fuel is stored is crucial. This includes being aware of potential hazards, understanding safety procedures, and being prepared to respond appropriately in case of emergencies.

· Although not always required, there might be occasions when handling paperwork, documents, or using various tools or devices to access information related to fuel scheduling and inventory.
