Purpose Statement:
The job of Department Secretary, Transportation is done for the purpose of providing administrative and secretarial support to the Transportation Department; communicating information to staff, the public, and other departments; ensuring compliance with financial, legal and administrative requirements; monitoring assigned projects and/or program components; and providing a positive impact on the educational objective of the district.

 

Essential Functions
• Attends meetings as assigned (e.g. driver meetings, workshops, etc.) for the purpose of conveying and/or gathering information required to perform functions.
• Dispatching communication with drivers relaying and receiving information for the purpose of to assist in the transportation of students by “dispatching” or communicating with drivers. Receives information and gives directions to drivers in accordance with the Transportation Director’s instruction.
• Maintains a variety of documents and files (e.g. driver time sheets, gas credit card log, purchase orders, student name list, route sheets, etc.) for the purpose of documenting information and ensuring availability for department personnel.
• Maintains inventory of office supplies and materials (e.g. all department forms) for the purpose of ensuring the availability as required.
• Performs record keeping, general and program specific clerical functions (e.g. phones, scheduling, copying, faxing, filing, reports, record keeping, etc.) for the purpose of supporting assigned department, administrator and/or site with necessary materials.
• Prepares written materials (e.g. meeting minutes, payroll, leave, work orders, letters, correspondence, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
• Processes documents and materials (e.g. leave, payables, purchase orders, reports, etc.) for the purpose of disseminating information to appropriate parties.
• Responds to inquires from a variety of internal and external parties (e.g. staff, other schools, parents, public, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
• Supports assigned department and administrative personnel for the purpose of providing assistance with administrative functions and/or serving as a liaison between the department and other staff, students, parents and/or community agencies.

Other Functions
• Assists other personnel as required for the purpose of supporting them in the completion of their work activities.

 

Job Requirements: Minimum Qualifications

Skills, Knowledge and Abilities
SKILLS are required to perform multiple, non-technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment, performing standard bookkeeping, planning and managing projects, preparing and maintaining accurate records and using pertinent software applications.

 

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand
complex, multi-step written and oral instructions. Specific knowledge required to satisfactorily perform the functions of the job includes: business telephone etiquette, keyboarding, office methods and procedures, standard office software, concepts of grammar and punctuation and accounting/bookkeeping principles.

 

ABILITY is required to schedule a number of activities, meetings, and/or events; often gather, collate, and/or classify date; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; analyze data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a diversity of individuals and/or groups; work with a variety of data; and utilize specific, job-related equipment. In working with others, problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited to moderate. Specific abilities required to satisfactorily perform the functions of the job include: communicating with diverse groups, establishing effective relationships, maintaining confidentiality, working as part of a team, adapting to changing work priorities, meeting deadline and schedules, setting priorities, working with frequent interruptions and working with detailed information/data.

Responsibility
Responsibilities include: working under direct supervision using standardized routines; providing information and/or advising others; and tracking budget expenditures. Utilization of some resources from other work units is often required to perform the job’s functions. There is a continual opportunity to impact the organization’s services.

 

Working Environment
The usual and customary methods of performing the job’s functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.

 

Experience Job related experience is required.

Education High School diploma or equivalent.
