We take pride in our commitment to exceptional customer service and are seeking a friendly, professional, and welcoming Front Desk Administrator to join our team. In this role, you will be the first point of contact for our Building Operations office in Lakewood Ranch, creating a positive and lasting impression while managing daily administrative responsibilities with efficiency and professionalism.

WHAT YOU'LL DO:
- Greet visitors and manage all incoming calls in a professional, courteous manner; route inquiries to the appropriate person or department
- Partner with 5800 Corporate Reception to align shared processes (contacts, vendor accounts, company-wide lists)
- Respond to spontaneous requests while balancing front desk responsibilities; remain organized and adaptable
- Assist with scheduling Zoom meeting links for conference room setups
- Manage incoming and outgoing mail, UPS, and FedEx, including ordering and maintaining supplies for postage/shipping
- Provide backup administrative support to departments as needed, completing tasks accurately and on time
- Assist with filing, scanning, or other clerical support
- Assist with conference room scheduling and assist with meeting set-up (coffee, snacks, catering)
- Track and order 6900 building office supplies, review departmental requests for cost efficiency, and maintain stock in organized supply cabinets. Order copier supplies and ensure back-up stock is maintained; conduct annual cost audits for competitiveness. Follow corporate vendor contracts/pricing; escalate vendor changes through Corporate Reception
- Assist with the inventory of Neal Communities apparel (shirts/hats)
- Maintain a list of regularly used office accounts (supplies, UPS, FedEx, etc.) and notify Corporate Reception of adds/changes to the master list
- Coordinate monthly employee birthday cards
- Use discretion and maintain confidentiality in all aspects of work
- Maintain and update the 6900 building procedures manual for all front desk responsibilities; align with corporate standards
- Keep the lobby, conference room, break areas, and mailroom stocked, clean, safe, and welcoming

WHAT YOU BRING:
- High School diploma or equivalent is required
- 3+ years of reception or administrative support experience with a strong professional presence
- Ability to organize and prioritize multiple tasks in a fast-paced environment
- Excellent verbal, written, and listening skills with a strong customer service orientation
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Publisher, PowerPoint)
- Reliable and dependable with excellent attendance and punctuality
- Ability to handle sensitive and confidential information with discretion
- Ability to work independently with minimal supervision
PHYSICAL REQUIREMENTS:
- General sedentary work requiring the use of office equipment such as computers, copiers, printers, scanners, and telephones
- Position requires sitting, standing, walking, bending, stooping, grasping, writing, typing, repetitive motions, hearing ability, visual acuity, and climbing stairs on occasion
- May occasionally lift and move up to 30 pounds
- Some driving may be required
