JOB OVERVIEW
Provides expert level support and services for the opening and maintenance of specialty deposit accounts. This role serves as a subject matter expert and resource for branch employees and members, delivering high quality service. Additionally, this position includes elevated responsibilities in reviewing complex account documentation, making independent decisions, and supporting tax reporting processes. The Advanced Account & IRA Specialist plays a critical role in ensuring regulatory compliance, operational excellence, and consistent, member experience.
MAJOR TASKS, RESPONSIBILITES and KEY ACCOUNTABILITIES
MEMBER EXPERIENCE, ACCOUNT SERVICES and OPERATIONAL EXCELLENCE
- Provides friendly, helpful service that promotes financial discipline and improves member wellbeing.
- Utilizes expert knowledge to open and maintain consumer, specialty, and business deposit accounts.
- Asks appropriate questions of members and employees, listens carefully to their needs, and recommends the best solution or refers to the appropriate staff to accomplish the members’ goals and strengthens their financial wellbeing. This includes Wealth Management, Mortgage Loan Officers or departments outside the scope of the employee’s job responsibilities.
- Supports branch staff by preparing accurate documents, assisting with member service requests, and maintaining expertise in all BHCCU account types, services and processes.
- Proactively schedules and supports member appointments to ensure timely and personalized service.
- Accurately prepares and reviews member documents related to account opening, maintenance, research, reconciliation, and correction.
- Performs daily audits of new or modified specialty accounts to ensure accuracy and compliance.
- Provides internal member service for support and ensures satisfaction with such support.
- Secure the credit union’s assets by handling negotiable instruments in a consistent manner, properly identifying members, keeping member information confidential, balancing at the end of each business day, and completing necessary reports that summarize daily activities.
- Maintains up to date knowledge and adheres to all regulations, policies, procedures, and standards that pertain to this position.
SPECIALTY ACCOUNT EXPERTISE
- Serves as a subject matter expert on specialty account types including, but not limited to IRAs (Traditional, Roth), Power of Attorney (POA), Trust Accounts, Estates, Custodial Accounts (UTMA), Representative Payee, Guardianship, Non-citizen accounts, Business (Sole Proprietorship, Limited Liability Companies (LLC), Corporations, Partnerships, Organizations).
- Assists with researching information provided by the Wisconsin Department of Financial Institutions (DFI), Wisconsin Credit Union League, Wisconsin State Statue, Internal Revenue Service (IRS) and various oversite organizations and entities to ensure BHCCU specialty accounts remain complaint.
- Reviews documentation for accuracy, completeness, and compliance with legal and regulatory standards.
- Uses independent judgement and expertise to approve legal documentation presented by members to open specialty accounts.
- Responsible for creating and updating procedures and best practices with guidance from the Specialty Account Manager.
- Ensures documentation meets internal guidelines and works with branch employees to correct errors or gather additional information when needed.
- Acts as departmental support ensuring all IRA accounts are properly set up, maintained, and reported in accordance with applicable tax and regulatory requirements.
- Possesses in-depth knowledge of IRA tax reporting processes through the IRA software platform, including IRS regulations and annual reporting requirements (e.g. 5498, 1099-Q, 1099-R).
- Serves as a department-level administrator of the IRA software platform, managing system access and configurations.
- Assists with training and guidance to branch employees on specialty account processes and system use.
- Follow processes and procedures established to ensure compliance with the Bank Secrecy Act (BSA). Complete required annual BSA training to ensure you understand your responsibilities that apply to BSA, including:
- CIP (Customer Identification Program)
- CDD (Customer Due Diligence)
- Beneficial Owner identification and verification
- Prohibited Account Types
- CTRs (Currency Transaction Report)
- SARs (Suspicious Activity Report)
- OFAC (Office of Foreign Assets Control)
- Monetary Instruments
- Performs other duties as assigned, including filling in for other departments as member demand necessitates.
QUALIFICATIONS and COMPETENCIES
EDUCATION and EXPERIENCE
- Associate degree or an equivalent level of knowledge, skills, and abilities typically acquired through work experience.
- Must be at least 18 years of age.
- Expertise knowledge of specialty accounts and their governing regulations.
- Advanced knowledge of IRA account types and tax reporting requirements (training available)
- Experience using and administering IRA software platforms (training available)
- 2 years or longer in branch Member Advisor experience or previous experience recommending products and plans to improve a customer’s financial position preferred.
- Knowledge of banking and/or credit union regulations preferred.
- Pass the pre-employment credit and background check.
