Purchasing and Receiving Coordinator (Warehouse)

$19.35-$23.01 / based on years of experience

Position Summary: 

Under the supervision of the Ancillary Services Manager, performs a variety of duties associated with the receiving, shipping, and storage of materials, supplies, tools, and equipment while providing outstanding customer service to staff, residents, and guests. 


Brief Overview of Major Duties:

  • Maintains and updates Worxhub systems for all incoming and outgoing transactions daily, including but not limited to creating purchase orders and updating status, updating inventory pricing and vendor information, charging special order items to work orders, running/reviewing reports on inventory, parts on order, low stock, and others as required, regularly checking data for accuracy, adding inventory to system including creation of bin tags, discontinue inventory per department procedure.
  • Under the direction of supervisor, perform duties relating to the implementation and/or maintenance of other Worxhub modules. This can include running reports, data update/input, data verification, database maintenance, etc.
  • Responsible for neat and orderly stocking, restocking and maintenance of all warehouse locations. Report and correct discrepancies in locations, quantities on hand and damages. 
  • Maintain (create/replace) bin tags on all inventory items, report low inventory, remove discontinued items to central location.
  • Coordinates receiving/unloading of deliveries, while ensuring that shortages and damages are reported in a timely manner. Checks delivery against PO, packing slip, bill of landing, etc. 
  • Picks up deliveries throughout campus. Receives items in Worxhub and notify end user of receipt, if necessary. 
  • Restock supplies. Credits all material returned to stock to the appropriate work order in Worxhub. Ensure the serviceability of the material, proper classification and re-binning. 
  • Arranging and storing tools in the tool cage including but not limited to checking tools in/out, reporting when tools are worn or broken, and documenting all processes through Worxhub or paper document.
  • Locates items to fill requests for materials while ensuring accuracy of the order. Clearly designate orders for pick up by end user. Notify end user that order is ready. Respond to requests promptly and communicate delays, parts on order, etc. Suggest alternatives if possible.
  • Maintains cost efficiency; elimination of waste and the maximum value for money spent. 
  • Obtains competitive price quotes and routinely requests from multiple vendors and document as alternates in Worxhub.
  • Place purchase orders with vendors. Utilize Worxhub for to identify low stock items. Follows up on orders ensuring that materials are shipped and delivered on promised dates.
  • Develops and maintains positive relationships with vendors; acts as a professional representative of Royal Oaks.
  • Develops standardized supply ordering procedures.
  • Assists with and/or performs inventory and cycle counts to ensure accuracy and promptness of completion. Documents annual physical inventory to inventory records. Any discrepancies will need an explanation indicated on the report and reported to the Ancillary Services Manager. 
  • Promotes continuous improvement of workplace safety and environmental practices.
  • Required to operate/drive a golf cart for the purpose of transporting supplies around campus as needed. This may also include transporting employees, residents and/or guests when needed. 
  • Perform other duties as assigned. 

Requirements


Required Skills/Abilities:

  • Must have knowledge of warehouse, trade material, and storeroom, shipping and receiving operations.
  • Must have the ability to prepare written memoranda, interpret shipping and receiving documents. 
  • Must have the ability to operate computerized inventory control system.
  • Is able to approve substitute material and/or recommend substitutions when needed.
  • Is organized, able to multi-task, think creatively and adapt to different situations.
  • Must be able to complete training on computer and/or other devices.
  • Maintain competency in the position and knowledge of trade/industry advances and new technologies.
  • Must be able to effectively communicate in English with all levels of staff, residents, and guests. 

Education and Experience:

  • Preferably has a high school diploma or GED equivalent.
  • Prefers at least three years of experience in a warehouse, trade material, storeroom, or shipping and receiving operations.

Licenses and Certifications:

  • Has current, valid driver’s license. Driving record must meet the criteria set forth by Royal Oaks’ insurance carrier. 
  • Obtain OSHA 10 hour certification within 30 days of hire.

Physical Requirements: 

  • Is able to carry/lift/push/pull up to 25 pounds.
  • May need to operate a fire extinguisher.
  • Is able to assist in evacuation procedures. 

Essential Functions:

  • Physical: lifting/moving, carrying/transporting, walking/traversing or moving, standing/stationary positions, bending, reaching to include forward and above shoulder level, pulling, pushing, fine manipulation (pen, using a mouse)
  • Cognitive: written and oral communication, ensure accuracy of details, remember names and details, work within minimal errors, reason (make sense of things) 
  • Environmental: inside, outside, humid, hot, cold, working with other, working around others, working alone
