Purpose of the Role
BGIS is seeking an experienced Facilities Coordinator to manage the day-to-day operations of our facilities, serving as the primary point of contact for internal and external stakeholders. Reporting to the Account Manager, you will oversee maintenance requests, supervise subcontractors, support management in financial and administrative tasks, and ensure compliance with OHS&E standards. Your work will help create a safe, efficient, and seamless environment for our teams and clients.
The ideal candidate is organised, proactive, and skilled at building strong stakeholder relationships, with a keen eye for operational excellence and compliance.
Key Responsibilities
- Serve as the first point of contact for the management office and client stakeholders.
- Manage and delegate maintenance requests, ensuring KPIs and contract requirements are met.
- Support the Account Manager and Facilities Managers with administrative, financial, and procurement tasks.
- Ensure compliance with OHS&E policies, safety standards, and sustainability practices.
- Oversee service contracts, subcontractors, and regular site inspections.
- Maintain CMMS records, documentation, and monthly reports.
- Manage mailroom operations and distribution of access cards/ASICs.
- Coordinate training requirements and follow up on compliance tasks nationally.
- Provide backfill support across sites as required, including occasional after-hours response.
- Capture and distribute meeting notes, action items, and key decisions effectively.
Education, Experience & Skills
Essential:
- Strong experience in property or corporate real estate/facilities management.
- Proficiency with CMMS systems and Microsoft Office (Word, Excel, Outlook).
- Knowledge of QA, OH&S, and environmental systems.
- Sound financial management skills, including invoicing and budget tracking.
- High School Certificate or equivalent; formal qualifications in building/facilities management preferred.
Desirable:
- Exposure to building services maintenance, tendering, and subcontract documentation.
- Flexibility, multitasking, and strong report-writing skills.
- First Aid Certificate and additional qualifications in environmental legislation/systems.
Workplace Flexibility
This role is primarily on-site at Brisbane HQ and Client Site in South Brisbane. Flexibility may be available after a probation period.
