About the Role
We are seeking a Senior Administrative Assistant to provide professional administrative support to senior executives at our clients' organization. All areas of responsibility require multi-tasking and interaction with internal and external executives and agency programs.
This position is a fully onsite position and will report to our customer's location in Atlanta, GA.
Responsibilities
- Manage calendars, including coordination of appointments as well as extensive re-scheduling for Directors, Deputy Directors, and other units
- Plan and execute meeting logistics for the Paperwork Reduction Act (PRA) Advisory Board, Excellence in Science Committee, Clearance review group, and other mission-related meetings
- Establish, categorize, and maintain file systems and databases related duties and activities
- Coordinate communication with the public, including monitoring public email boxes and alerting appropriate staff for response
- Maintain records for client responses to OMB Information Quality challenges and reporting requirements
- Coordinate client responses to OMB Information Quality inquiries on Highly Influential Scientific Assessments (HISA)/ Influential Scientific Information (ISA) publications and challenges
- Provide technical assistance on the use of data systems and other tools to facilitate the submission and tracking of scientific and research projects
- Meet, greet, and escort Federal, State, local, and foreign officials, and citizens and non-citizens
- Maintain and provide mandatory administrative services such as filing, proofreading, organizing utilizing Windows-based applications such as Microsoft
- Provide expert knowledge of office automation software programs used at the client for selective financial systems (i.e., CCPS, ICE) and the operations of Windows-based computer systems.
- Work closely with staff to complete assignments and receive guidance
- Responsible for using the copier, fax, and printer as needed
- Receive, file, and organize official e-correspondence as requested by staff
- Collect mail at the designated pick-up location and distribute it to the staff. Answer phone and route calls to the correct party. Schedule conference rooms, conference calls, and web-based meetings as needed and requested
- Manage staff calendar(s) and website(s)
- Shall anticipate, prepare, and present materials needed for trainings and meetings, including events that may require presence at off-site locations
- File documents, charts, and miscellaneous materials in the File Room
- Prepare and organize data for files and legal documents, including typing and submitting to leadership for processing and final approval
- Prepare and present materials needed for trainings and meetings, including events that may require presence at off-site locations
- Prepare file labels, set up folders, file documents, and reorganize tech transfer-related files
- Compose, format, and edit routine and non-routine correspondence and documents
- Enter data into the tracking system and utilize the tracking system to produce ad hoc reports
- Database Use - Possess a general working knowledge of databases, such as Excel, Access, etc. Perform data entry to include entering and updating specific data as necessary and as specifically instructed
- Enter specific un-coded data from intellectual property records, updating database records as specifically instructed, and processing invoices, procurement requests in the client's ICE system
- As determined by the Director or Deputy Director, prepare and send review materials to the required recipients
- Coordinate communications among associates
- Arrange conference calls, including video and/or data
- Coordinate commitments made during meetings and coordinate staff implementation
- Prepare meeting agendas, minutes, action plans, etc
- Periodically plan and/or accomplish a wide variety of special projects
- Conduct necessary research to address the project, meet with individuals who are involved in the project, collect and analyze data, and prepare documents or reports, or carry out the activities required for the special project
- In the absence of staff members, ensure that requests for action or information are provided to staff who can accommodate the request
- Compile, process, and analyze data based on research objectives and prepare draft proposals, presentations, and reports
- Training and Travel Support – Prepare and enter travel requests, training orders, and submit to leadership for processing and final approval
Requirements
Required Skills and Experience
- 3+ years supporting federal government in administrative support roles
- Demonstrated proactive approaches to problem solving with strong decision-making capabilities
- Forward looking thinker, who actively seeks opportunities and proposes solutions
- Analyze organizational goals and objectives, operating environment and business processes to determine most efficient methods of accomplishing workStrong Microsoft Office 365 skills required
- Experience in Executive Administration
- Excellent communication and interpersonal skills
- Experience supporting multiple on-going activities
- Strong organizational skills and the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Within commuting distance to client’s badging office in Atlanta GA
- Public health experience strongly preferred
- Knowledge with coordinating travel using the CONCUR travel system preferred
- Experience with MS SharePoint and Microsoft Office 365 are preferred
- Experience providing administrative support to executive leadership preferred
- Ability to obtain a government clearance.
- Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future.
Education and Training
- Associate degree in Business or a related field
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer. May need to lift 25 pounds occasionally.
