The Harris Center for Mental Health and IDD (“The HARRIS CENTER”) is looking for a Forensic Office Administrator to join our team. The Forensic Office Administrator helps support committee coordination, business/financial office needs (contracts, financial record keeping, data entry to payroll software program), preparing and coordinating prescriber schedules for coverage needs and working on special projects. The Forensic Office Administrator will help plan, prioritize and organize a diversified workload with cross-functional implications across the agency as related to the Adult Forensic team. The Forensic Office Administrator will also be tasked to help with preparing, editing, and distributing correspondence, documents, and reports across the Adult Forensic leadership group and medical staff, and have responsibilities in quality/safety functions, medical staff functions, financial functions, and communication functions. In addition, the Forensic Office Administrator will be tasked to help manage team assignments, handle confidential material for medical peer review and meet established deadlines for Adult Forensic in a time-sensitive environment. The Forensic Office Administrator will also help supervise, train, and mentor designated other administrative and managerial staff within the office as needed

 

Your Role in Action:

1. Financial/Business Administrative Functions
      a. Optimizes and organizes review of budget and tracks the financial status
      b. Provides business function support, including contract preparation and execution, payroll functions, and other assigned tasks
      c. Works with Adult Forensic Administrator to track medical staff compensation and related spending, and to provide trends
      d. Provides administrative support for physician compensation discussions
2. Quality and Safety Administrative Functions
     a. Works with Forensic Medical Director and Adult Forensic Director to enhance and improve policies and procedures relevant to medical services, and       supports efforts to enhance high quality care delivery
     b. Facilitates coordination within Adult Forensic to prepare materials for meetings
     c. Collaborates with Performance Improvement (PI) specialist and serves as backup

     d. Works with the Adult Forensic Director and Forensic Medical Director on tracking projects, clinical measures, and safety events
3. Medical Staff Functions
    a. Responsible for working on medical staff affairs and related coordination activities, medical peer review activities, and staff credentialing
    b. Provides administrative support for medical provider on-boarding, provider workflow meetings, professionalism complaints, quality concerns, and other related activities
    c. Provides leadership to the Adult Forensic through effective organization and direction of activities
    d. Provides administrative support to the Forensic Medical Director and Adult Forensic Director to help with calendar management and coordinating quality and patient safety committee meeting
4. Communication Functions:
    a. Establishes open lines of communication with medical staff, other healthcare providers, and other leaders in the organization
    b. Provides interval updates from Adult Forensic, including meeting agendas, meeting summaries, important news to relevant medical staff, performance improvement staff, and quality committees
   c. Establishes effective working relationships through collaboration and coordination of programs and processes with physicians and other hospital employees
Performs additional related duties as assigned.

 

What qualifications you will need:

Education

  • Bachelor’s Degree or equivalent.

Experience

  • Minimum 3 years in business development, business operations, care coordination/ administrative leadership, and/ or healthcare leadership experience. Experience working with medical staff highly valued. 
  • Success In working in a fast-paced setting
  • Prior experience working with healthcare executives in a managerial role.
  • Prior healthcare direct-care experience Is a plus

Knowledge, Skills and Abilities

  • Excellent verbal and non-verbal communication skills
  • Ability to Identify and offer solutions to resolve problems
  • Effective time management and organizational skills Competency In word processing, PowerPoint, and Excel.
  • Quality improvement training (CPHQ, MPH, MS, MHS, quality Improvement course) and/or Business 
    training
