Baskervill is an award-winning, multi-disciplinary design firm with offices throughout the country and in Gdansk, Poland. Our Richmond office is currently looking for a full-time Office Coordinator to join our team! The Office Coordinator is a central role supporting office operations for 130+ on-premises staff, and includes day-to-day clerical and administrative tasks, guest and client hospitality, and office maintenance. We are looking for an individual who is detail-oriented, reliable, highly organized, and loves working with people. Interested?


What you’ll be doing:


  • Serve as the firm’s “first impression” – responding to both telephone and email inquiries, directing to appropriate staff, greeting guests entering the office, and providing parking validation as needed
  • Oversee logistics and coordination for the firm’s Lunch and Learn program, in collaboration with design leadership, to include vendor scheduling, calendaring, and day-of meeting setup
  • Manage ongoing office documentation including, but not limited to, employee PTO calendar, seating charts and extension lists, security and parking access cards, parking validation logs, courier requests, and job site equipment inventory and scheduling
  • Coordinate and process all incoming and outgoing mail and packages, including preparation of necessary labels or envelopes, courier logistics, and tracking
  • Maintain front office, conference, and kitchen areas including morning setup, and both mid-day and end-of-day cleanup and assistance, as needed and manage library sample returns and recycling program
  • Oversee supply management, including supply stocking and ordering, refilling supply stations throughout the office, and tracking supply use
  • Support employee teams with data entry, and letter or document preparation in accordance with written or verbal instructions
  • Operate technology including printers/copiers, scanners, phone systems, video conferencing system, conference room scheduling and other office equipment
  • Coordinate with Administrative team on guest, client, and team meetings, including food orders, beverage and/or snack needs, and room setup and clean-up
  • Assist Office Manager in the coordination of maintenance issues or other tasks as needed


Here’s what you need:


  • High school diploma or GED
  • 3+ years of office support and/or experience in a professional environment
  • General knowledge of office procedures
  • Proficiency in Microsoft 365
  • A positive attitude and exceptional customer service-style demeanor
  • Strong verbal and written communication skills and the ability to communicate effectively with internal teams and external clients, vendors and guests
  • Experience working as part of a team
  • Availability to work in office 8am – 5pm, Monday – Friday 
  • The ability to lift up to 30 pounds
