JOB TITLE: Receptionist
ORGANIZATIONAL UNIT: Housing Department
SUPERVISOR: Senior Office Manager/ Homeownership Manger and Tribal Rental Manager
FLSA: Non-Exempt
SALARY RANGE: $14.00 - $19.23

** ALL FULL TIME POSITIONS: In addition to your pay, your salary also includes Medical, Dental and Vision Insurance. The Biweekly deduction from employee paycheck is $40.00 for Employee Only, $95.00 Employee plus Children, $120.00 Employee plus Spouse, and $140.00 Employee plus family. **
JOB SUMMARY: The purpose of this position is to provide administrative assistance to the Housing management team. Greeting and assisting clients in person as well as on the phone, opening and closing office, data entry, answering multi-line telephones, receiving and sorting mail, filing
RESPONSIBILITIES/TASKS:
1. Collect and collate data for CPNHD activity reporting.
2. Provide support and assist other program managers
3. Type memos, correspondence, reports, and other documents as required.
4. Collect and process rent payments when Affordable Housing Manager is unavailable.
5. Receive inquiries about CPNHD (Citizen Potawatomi Nation Housing Department) programs and direct to the appropriate department.
6. Send or hand out applications to individuals interested in the Housing Programs.
7. Generate the quarterly Housing Newsletter
8. Assist applicants with understanding the guidelines of the current Housing programs.
9. Provide support in maintaining and updating applicant files.
10. Collect and distribute mail and messages.
11. Assist in the coordination of resident events.
12. Maintain CPNHD administrative files.
13. Responsible for contacting Housekeeping, Maintenance, Phone Repair, and other mechanical repair vendors when necessary.
14. Order office, equipment, and kitchen supplies.
15. Check prices for the procurement process and fill out proper paperwork required by HUD.
16. Maintains files on work orders
17. Perform all other duties as assigned.
SKILLS AND EDUCATIONAL REQUIREMENTS:
1. Excellent organizational skills necessary to maintain a multi-faceted, fast paced and detail oriented office.
2. Effective people and communication skills and patience in dealing with a variety of human dispositions.
3. Ability to educate clients who are unfamiliar with Housing regulations and programs.
4. Basic knowledge of computer functions and applications including word processing, spreadsheets, maps and graphics, and on-line resources.
5. Able to interpret NAHASDA, HUD, Housing Policies, & Other Federal Regulations.
6. A minimum of One (1) year of experience with Indian Housing.
7. High School diploma or GED equivalent.
8. Knowledge of operation and maintenance of office machines.
COMMUNICATION SKILLS:
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
PHYSICAL REQUIREMENTS: Ability to sit for prolonged periods of time doing repetitive work at the computer. Some bending, stretching, and lifting.
