PURPOSE
The Senior Administrative Assistant is accountable to the Vice President(s) of Leasing or the Senior Director of Lease Administration for assisting senior management and supporting the leasing group with a variety of administrative and coordination tasks. The role is responsible for supporting the management of leasing activities, ensuring accurate deal administration and documentation of business terms, and facilitating the timely execution of transactions within internal systems. The position requires strong organizational and technical skills, attention to detail, and initiative to support the effective administration of leases and related activities, enabling the department to achieve its business goals and objectives.
DUTIES AND RESPONSIBILITIES
- Leasing & Lease Administration
Accurately maintains lease documentation by entering and tracking key deal terms into Morguard’s internal systems. Follows the documentation through the approval process and ensures key information is accurate and shared with connecting departments, including Legal, Construction, Tenant Coordination, and Site Operations. - Personal Assistant Support
Carries out duties of a personal assistant to senior and executive management by preparing various arrangements and associated reporting incl. daily schedules, coordination and arrangements of meetings, travel arrangements, event organization and coordination as well as preparation of personal expense reports to support workload and time management activities at the senior and executive management level. - Research and Analysis
Completes regular and ad-hoc research and analysis, normally confidential in nature, assigned by senior and executive management. Conduct market, property, and tenant research to support leasing activity and deal preparation. Prepares accurate and timely reporting, insights, and background material to support decision-making. - Special Project Support
Supports senior and executive management and their department members by assisting with administrative and other tasks, projects or initiatives in the areas of documentation and knowledge management, data and technology platform maintenance, Purchase Orders, invoice processing for payments and financial reporting of low complexity, where required, as well as travel arrangements to ensure overall business goals and objectives of the functions/departments are met efficiently and on time. - General Administrative Duties
Performs general administrative duties in support of multiple departments, including scanning documents, generating reports from Yardi, utilizing IntelAgree, and assisting with leasing functions. Provides support with drafting and handling correspondence, as well as completing various data entry activities, as required. - Any other job related duties and/or projects that may be assigned.
Minimum Requirements
Skills, Knowledge, Experience and Education
- Minimum of 2 years of relevant administrative experience at the executive level supporting two or more departments simultaneously
- Previous experience in real estate, finance or insurance industry is an asset
- Advanced working knowledge of MS Office applications as well as Yardi. Able to learn new systems with ease.

Additional Requirements
- High School or College diploma in a related field (e.g. Office Administration, Business Administration etc.) or equivalent is an asset.
