Duties

Coordinates and carries out a wide range of administrative functions in direct support of upper-level management. Manages and organizes schedules for the Director and Deputy Director, including meetings, conferences, and appointments, while overseeing executive, team, and conference room calendars. Streamlines the flow of operational processes within the office and tracks the status of multiple projects and program activities. Represents the office by serving on advisory committees as assigned and may be delegated signatory authority for designated administrative matters. Provides comprehensive administrative support to staff personnel across the division. Reviews and interprets directives and regulations, and maintains official files to ensure accuracy and compliance. Provides guidance to staff in the development and implementation of local administrative directives and procedures. Develops internal policies, procedures, and work methods to improve administrative management operations. Ensures compliance among managers and supervisors by reviewing and revising studies, reports, and correspondence for accuracy, completeness, and proper format. Collects, compiles, and organizes information and data to meet administrative requirements, and identifies opportunities to automate reporting and correspondence processes. Utilizes established computer programs to coordinate and prepare management presentations and briefings, including slide shows, spreadsheets, flow charts, graphics, and other applications to support organizational reporting needs. May perform a variety of support functions, including gathering and analyzing statistical data; preparing and processing travel requests and vouchers; maintaining office supply inventories; and coordinating arrangements for special events. Preparing and delivering briefs, presentations and training sessions to support organizational needs. Monitoring and distributing personnel documentation such as recruitment requests, personnel actions, training notices, performance reviews, position descriptions, individual development plans. Ascertains the nature of calls or business visitors and directs to appropriate personnel. Provides World Class Customer Service with an emphasis on courtesy. Assists internal and external customers and communicates positively in a friendly manner. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Performs other related duties as assigned. This is a white-collar position where occasional lifting up to 20 lbs may be required. May be required to travel for regional support.

Qualifications

Three years experience that demonstrates broad knowledge of administrative practices and principles. Skill to organize and coordinate multiple high visibility projects simultaneously. Skill to prepare documentation and presentations using proper format in accordance with naval correspondence rules of grammar and punctuation. Skill to operate a personal computer and associated peripheral equipment and software. Ability to communicate orally and in writing in order to establish and maintain effective relationships with all levels of management, as well as develop and present effective oral and written reports, discuss findings of studies/projects assigned. Knowledge of correct spelling, punctuation, and required formats to create and review outgoing correspondence. Skill to deal with employees at various levels in the organization and to represent the division with customers external to the organization. Performs other related duties as assigned and possible overnight travel as well as weekends.
