About the Job:

The Senior Leave of Absence (LOA) Manager serves as a subject matter expert in leave and disability accommodation, providing strategic guidance and case management across PetSmart’s U.S. and Puerto Rico operations. This role independently manages intermediate to complex cases, balancing legal compliance with operational needs. The Senior LOA Manager partners with Legal, HR, and Risk teams to mitigate risk, identify trends, and drive process improvements, while maintaining data integrity and delivering high-quality service.

 

Essential Duties and Responsibilities

  • Operates in a highly collaborative, cross-functional environment, handling both escalated and non-escalated LOA/ADA cases with autonomy and sound judgment.
  • Independently manages complex FMLA cases and provides education to leaders on federal and state leave laws, proactively identifying legal risks and recommending solutions.
  • Leads ADA case management, including initiating the interactive process, reviewing documentation, analyzing requests, and making independent decisions on reasonable accommodations that align with both legal requirements and business operations.
  • Tracks accommodations and advises on ADAAA updates; identifies areas of legal exposure and recommends process improvements.
  • Coaches and supports all levels of management and HR on LOA and ADA matters, including delivering presentations and written communications.
  • Analyzes data to identify trends, conducts root cause analysis, and develops actionable solutions with minimal oversight.
  • Maintains accurate documentation and ensures data integrity in the LOA case management system.
  • Partners with Legal, Risk, Training, and Operations to share best practices and ensure consistent application of policies.
  • Participates in the development and delivery of training programs and contributes to continuous improvement initiatives.

Education, Experience, and Skills

  • Minimum of five (5) years of experience in leave and benefits administration, with a strong understanding of FMLA, ADA, HIPAA, ERISA, and benefit plan design.
  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Demonstrated ability to make independent decisions in complex, high-stakes situations.
  • Strong strategic thinking, problem-solving, and decision-making skills.
  • Exceptional interpersonal and communication skills, both written and verbal.
  • Highly organized with the ability to manage multiple priorities and respond with urgency.
  • Advanced proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint); experience with HRIS and SAP reporting preferred.
  • Ability to research and interpret federal and state leave laws and recommend compliant accommodations.
  • Positive, proactive attitude and commitment to high-quality service delivery.
  • SHRM-CP or PHR certification is a plus.
