Position Description:
As a key leader in the Doran Group’s Property Management division, your varied duties include keeping our portfolio communities operating smoothly and according to safety and ownership standards while ensuring the timely and accurate fulfillment of all service requests and repairs. You will take ownership and manage your departmental budgets effectively and within guidelines, including materials, tool purchasing, and vendor submissions. Your role is essential for maintaining our high level of customer service as well as the cleanliness and marketability of the community to renew and secure new leases while maintaining a positive work culture and dedication among maintenance team members
Leadership and Management Duties:
- Recruits, interviews, hires, and trains new team members.
- Oversees the daily workflow of the department.
- Provides constructive and timely performance evaluations.
- Handles discipline and termination of employees as needed and in accordance with Human Resources.
Collaboration and Team Duties
- Works with the Vice President of Property Management and onsite Community Managers in managing all maintenance related and capital improvement activities.
- Indirectly supervises onsite maintenance teams in order to achieve operational goals of the property and department. This includes employee training, instructing and advising on-site staff of employee procedures and guidelines.
Operational Duties
· Conducts quarterly community inspections to identify needed repairs and ensure aesthetic upkeep.
· Reports liability incidents and processes workers compensation claims in collaboration with the Human Resources and the legal department.
- Initiates, performs and oversees maintenance projects.
- Must be a “hands on" maintenance person with ability to compliment and/or step in if maintenance team members may be absent for personal reasons/PTO/etc.
- Oversees the timely fulfillment of resident repair requests as needed. This includes plumbing, electrical, drywall, lock changes, light carpentry, heating, air conditioning, appliance repair, etc.
- Oversees the timely fulfillment of apartment turnovers by the onsite maintenance teams and ensures compliance to the maximum extent possible with company policies related to turnover timelines and protocols. Assures quality and quantity of market ready apartments.
- Assists with maintenance of common areas (indoor and outdoor) as needed.
- Maintains community appearance and ensures repairs are noted and completed on a timely basis. This requires regular community inspections and tours.
Project and Vendor Management Duties
· Supports capital improvement and maintenance project execution, ensuring timelines and quality standards are met.
· Assists in managing warranty claims and construction defects and repairs.
· Leads investigation of major repair issues including soliciting proper experts or internal in-house resources and ensuring work is completed with minimal disruption to resident experience.
· Develops and maintains vendor relationships, negotiates pricing/contracts and evaluates suppliers at least annually.
Budget and Inventory Management
· Assists in preparing the annual operation and capital improvement budget and monitoring maintenance expenditures on a monthly basis.
· Controls maintenance budgets while ensuring high operational standards
· Maintains inventory oversight, ensuring there is adequate equipment and supplies to efficiently maintain the property and return homes to the market.
Resident Relations and Crisis Management
· Responds to escalated residents’ concerns, ensuring prompt resolution and service excellence.
· Assists in managing emergency maintenance situations and, implements contingency plans when necessary.
· Oversees work order communications and ensures customer friendly and company policy compliant correspondence from maintenance department related to resident issues.
Company Culture and Compliance

· Travel up to 25%, based on business needs, to support maintenance operations.
· Ensures compliance with all company, local, state and federal safety rules.
· Ensures that unsafe conditions are corrected in a timely manner.
· Reports all liability and community incidents to the corporate office immediately.
· Ensures that all workers’ compensations claims are reported and proper paperwork is completed.
· Maintains a positive customer relations attitude.
· Complies with all Federal and Local Fair Housing regulations and ordinances.
Requirements

Education and Experience:
- HVAC and EPA licenses preferred
- Mechanical and Building Maintenance Experience including Electrical.
- HVAC experience required.
- CPO Preferred.
- Experience in managing vendors and working with teams.
- Strong computer skills, as well as, written, verbal, and communication skills.
- High school diploma required.
COMPENSATION: The appointed candidate will be offered a salary within the range of $100,000-$115,000 a year, based on experience, a comprehensive benefits package including: medical, dental, vision, PTO, employee discount and retirement plans with employer contribution match. The Doran Group also offers employer paid AD&D insurance coverage, Life Insurance, and Long/Short Term Disability. Cell Phone reimbursement up to $60 a month and company car or car allowance up to $600 a month.
Classification: Exempt
· Expected Hours of Work This is a full-time position: 40 hrs. /wk.
· Days and hours of work are Monday through Friday; 7:00a.m. to 3:30p.m. (some schedules may vary)
· Occasional on call weekend and evening work may be required as job duties demand.
· Lunch break is 30 minutes daily.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Prolonged periods of standing and walking, frequent pulling, pushing, and bending.
- Must be able to lift up to 15 pounds at times.
