Position Overview
We are seeking a detail-oriented and proactive Administrative Assistant to support daily office operations, coordinate administrative tasks, and assist management in ensuring smooth workflow across departments. The ideal candidate will be organized, professional, and capable of handling multiple priorities in a fast-paced healthcare environment.
Key Responsibilities
- Provide general administrative support, including managing correspondence, scheduling meetings, and maintaining records.
- Assist with preparation of reports, presentations, and documentation as required by management.
- Manage calendars, coordinate appointments, and support travel arrangements for executives and staff.
- Maintain filing systems (electronic and physical) and ensure confidentiality of sensitive information.
- Liaise with internal teams and external stakeholders to facilitate smooth communication and workflow.
- Monitor office supplies inventory and place orders when necessary.
- Handle incoming calls, emails, and visitors in a professional manner.
- Assist in planning company events, trainings, or meetings.
- Perform other administrative duties as assigned.
Qualifications & Skills
- Bachelor’s degree preferred (or equivalent work experience).
- Proven experience (2–4 years) as an Administrative Assistant, Office Coordinator, or similar role.
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Prior experience in healthcare, pharmaceutical, or manufacturing industry is an advantage.
