JOB SUMMARY: The Referral and Imaging Coordinator is responsible for managing the referral and diagnostic imaging process to ensure timely, accurate, and efficient coordination of patient care. This role supports providers and patients by scheduling, tracking, and following up on specialty referrals, diagnostic tests, and imaging studies. The coordinator works closely with internal care teams, external specialists, and imaging facilities to reduce barriers, enhance communication, and promote continuity of care.
Key Responsibilities
- Referral Coordination
- Process provider referral orders in the electronic health record (EHR) within 3 business days.
- Secure authorizations and verify insurance coverage when required.
- Submit supporting medical record documentation for specialty appointments.
- Track and follow up on referral outcomes and reports, ensuring results are received and entered into the EHR.
- Imaging Coordination
- Schedule diagnostic imaging (e.g., X-rays, CT scans, MRIs, ultrasounds) at approved facilities.
- Obtain prior authorizations as required by the patient insurance carrier
- Provide patients with preparation instructions and logistical support (transportation, directions, financial counseling).
- Monitor receipt of imaging results and confirm they are reviewed by the ordering provider.
- Patient Communication & Support
- Serve as a primary point of contact for patients regarding referral and imaging status.
- Provide education and answer questions about the referral or imaging process.
- Address barriers such as transportation, financial concerns, or language needs by connecting patients with support resources.
- Address any insurance coverage issues.
- Documentation & Reporting
- Maintain accurate documentation in the EHR and referral management systems.
- Track pending referrals and imaging to ensure timely completion.
- Generate reports for care teams and quality improvement initiatives as needed.
- Collaboration & Teamwork
- Work closely with providers, nurses, medical assistants, and care coordinators to support patient care.
- Communicate effectively with external specialists, imaging centers, and insurance companies.
- Participate in multidisciplinary meetings and quality improvement projects.
Requirements
EDUCATION/EXPERIENCE: High school diploma or equivalent. Previous office reception or coding experience and a minimum of one year of work experience in a medical office setting required. Prior experience with referrals, prior authorization and imaging coordination preferred.
