Advancement Operations and Finance Coordinator

Location: Springfield, MO

Department/Program:  Advancement

Primary Shift:  M-F, 8:00 am – 5:00 pm (nights and weekends as needed)

Job Classification: Full -Time

FLSA Classification: Non-Exempt

Salary: $18.00 - $19.00/hour

Travel Required (Y/N, %):  Y, 5%

Catholic Charities of Southern Missouri is seeking a detail-oriented and highly organized Advancement Operations & Finance Coordinator to support our fundraising and financial operations. In this pivotal role, you'll ensure accurate donation processing, uphold donor intent in fund allocations, and serve as a critical link between our Advancement and Finance departments. You'll also provide essential administrative support to the Chief Advancement Officer and help maintain financial transparency and donor trust. What You’ll Do:

  • Process all incoming donations in coordination with the Advancement Database Coordinator, ensuring accurate data entry, tax credit processing, and prompt generation of donor acknowledgment letters.
  • Prepare and record deposits following agency policies and internal financial controls.
  • Accurately allocate incoming funds based on donor intent, event designations, or grant restrictions.
  • Maintain confidential and accurate donor records within the donor database system.
  • Serve as liaison to the Finance Department to ensure timely reconciliation of advancement income, including troubleshooting discrepancies and preparing necessary reports.
  • Provide administrative support to the Chief Advancement Officer, including calendar management, correspondence, and preparation of documents and reports.
  • Respond to donor inquiries regarding contributions, tax receipts, and fund allocation with professionalism and accuracy.
  • Provide occasional front office support at the St. Anne’s Campus, including answering phones, assisting visitors and volunteers, and performing general clerical duties as needed.
  • Performs other related duties as assigned.

All you need for success:

Minimum Qualifications

Required:

  • High school diploma or equivalent.
  • Minimum of two (2) years of experience in accounts receivable, administrative support, or customer service.
  • This position requires a valid driver’s license, a reliable vehicle, and proof of insurance.

 

Preferred:

  • Associate’s degree in business administration, accounting, nonprofit management, or related field.
  • Two (2) years of experience in a nonprofit environment, particularly in fundraising, donor relations, accounting, or advancement services.
