Evergreen Plumbing, Heating & Air is a locally owned and operated residential service
plumbing and HVAC company serving Salem and the surrounding communities. We are
growing quickly and value accuracy, accountability, and teamwork. We are seeking a
detail-oriented and reliable Part-Time Accounts Payable Specialist to join our finance team
and help keep our operations running smoothly.
Position Summary
The Accounts Payable Specialist will handle all aspects of the accounts payable process -
from entering vendor invoices to reconciling credit card transactions - ensuring that bills are
paid on time, properly coded, and supported by documentation. This hybrid, part-time position
is perfect for someone who is organized, proactive, and excited to be part of process
improvement initiatives, including Evergreen's new purchase order system rollout in
ServiceTitan.
Key Responsibilities
•Review, code, and enter vendor invoices into QuickBooks Online (QBO)
•Match invoices to purchase orders and verify pricing and quantities
•Support and participate in the implementation of Evergreen's new purchase order process
using ServiceTitan
•Ensure invoices are properly approved prior to payment
•Process weekly check runs and schedule electronic payments
•Maintain vendor records and W-9 documentation
•Communicate with vendors to resolve billing discrepancies or missing documentation
•Reconcile company credit cards, collect and match receipts, and follow up on outstanding
items
•Track open purchase orders and flag variances or duplicate charges
•Assist with job costing and ensure expenses are allocated correctly to work orders
•Generate accounts payable reports for month-end close
•Support Controller/Bookkeeper with cleanup projects and process improvement initiatives
Qualifications
•Previous accounts payable or bookkeeping experience required (2+ years preferred)
•Strong knowledge of QuickBooks Online (QBO) and Microsoft Office/Google Suite
•Familiarity with ServiceTitan software (a plus, but not required – will train)
•Excellent organizational and time management skills
•Strong attention to detail and ability to spot errors or inconsistencies
•Ability to work independently, meet deadlines, and collaborate with a growing team
Hours & Compensation
• Part-time, approximately 15–20 hours per week
• Hybrid schedule: some on-site in Salem, OR + remote flexibility
