Job Description
Corner Property Management is seeking a professional and organized Receptionist/Administrative Assistant to support daily office operations. This role serves as the first point of contact for clients and visitors, manages communications, and assists with administrative tasks to ensure smooth workflow across departments.
Schedule
- Business work week is Monday – Friday 8:30 am to 5 pm.
- May be required to work evenings and/or weekends as needed for special or urgent projects/tasks (notice will be provided in advance).
Organizational Hierarchy
- Reports to Administrative Supervisor
- Supervises: None
Primary Responsibilities
- Receive and distribute mail. Ensure proper postage for outgoing mail. Monitor the fax reports.
- Scan and send to appropriate department/staff within timely manner.
- Act as the greeter for Corner Property Management, welcome clients and provide direction and assistance.
- Manage incoming phone calls and address requests whenever possible; redirect calls to the relevant staff when necessary; and prepare, distribute, and cover phone messages during admin associate breaks.
- Monitor and distribute Association election ballots.
- Close annual reports to the relevant parties.
- Generate a FedEx request report and submit it to the accounting department for processing.
- Manage office supplies and manage inventory.
- Collaborate with the executive assistant to organize events and maintain office common areas, ensuring a clean and welcoming environment for all.
- Train and mentor new and existing employees on office procedures and equipment.
Requirements
Skills
- Strong customer service skills.
- Ability to prioritize and multitask.
- Excellent written and verbal communication.
- Must be able to use MS Office 2021 or later, particularly Excel and Word. Must be able to adapt to management software being utilized by CPM.
- Ability to interpret and follow verbal and written instructions.
