About the Role
We are seeking a highly organized, proactive, and trustworthy Executive Assistant to support our Chief Executive Officer (CEO) and other C-Level executives. This role goes beyond traditional executive support and includes leading day-to-day office operations, facilities management, and acting as a liaison with our Investors, Board of Directors and other critical external partners. This role requires the ability to operate effectively in a fast-paced environment, demonstrate a high level of discretion, and apply a service-oriented approach in supporting executive leadership and overall company operations.
This role is based out of our Herndon, VA HQ office. For consideration, you MUST be local and willing to be in the office 3 days per week - Tuesday, Wednesday, and Thursday, and flexibility to come in other days if needed to support the CEO (rare).
Executive Support
- Provide high-level administrative support to the CEO, including extensive calendar management, travel coordination, meeting preparation, expense reporting, and other needs as requested.
- Support other C-suite executives as needed with scheduling and logistics; ensuring all parties are aware of important dates and clear expectations are communicated.
- Assist in preparing board presentations, reports, and communications on behalf of the CEO and executive team.
- Manage sensitive and confidential information with the utmost discretion.
Board and Stakeholder Liaison
- Coordinate logistics for all board meetings, in partnership with investor representatives, to include advanced scheduling of annual meetings, oversee material input from executive team, assist with deck formatting, etc.
- Serve as a point of contact between the company and board members, external consultants, and vendors.
- Facilitate communication between the CEO and key external stakeholders.
Office & Facility Management
- Oversee daily operations of office facilities, including office supplies, vendor management, safety protocols, and building maintenance needs.
- Manage relationships with landlords, contractors, and service providers.
- Ensure a professional, welcoming, and functional office environment that reflects our company culture and supports employee productivity.
- Answer the main phone line, screen calls, and route to appropriate internal stakeholder.
- Responsible for ordering and setting up of internal weekly food delivery for staff.
- Manage employee badge process and vendor relationship, including setup, distribution, and deactivation of office suite access fobs/badges.
- Main point of contact for company travel management solution; manages the vendor relationship, all administrative needs associated with supporting staff with booking company travel; approving “out of policy” bookings, etc.
Operations and Special Projects
- Support the execution of company events, including company-wide meetings, executive offsites, holiday party, IFA convention and other internal events.
- Drive special projects and initiatives on behalf of the CEO and executive team.
- May assist in the coordination and purchase of employee gifts and holiday gifts that are sent to top 50 customers.
- Assist with internal communications and the planning of leadership engagements.
Requirements
What You'll Need (Qualifications)
- 5+ years of experience as an Executive Assistant supporting C-level executives; prior experience supporting a CEO is required.
- Proven experience in facilities or office management roles.
- Strong organizational, project management, and multitasking skills.
- Collaborative and approachable team player.
- Excellent communication skills, both written and verbal.
- Discretion in handling sensitive company and personnel information.
- Proficiency with Microsoft Office Suite, Zoom, and collaboration tools like Slack or Teams.
- Ability to work independently with a proactive and resourceful mindset.
