The primary responsibility of the Executive Assistant is to provide administrative assistance and support to the Lead Pastor, Executive Team and Vision Board. and the ministries within Hosanna Church.
Requirements
Effectively interact with all who encounter the Lead Pastor and Hosanna Church, maintaining a positive first impression.
Serve as liaison with the Lead Pastor’s direct reports, members of the Vision Board, staff members and congregation while maintaining a confidential nature of communication.
Assist the Lead Pastor as necessary with correspondence, references, recommendations and any other organizational letters on his behalf.
Provide effective, fast-paced professional assistance for the Lead Pastor, anticipating the needs of the organization, initiatives and ministries. These tasks include, but are not limited to, scheduling appointments, travel, meetings; independently responding to email and personal correspondences; processing credit card and expense reports; preparing and assisting in staff meetings and staff development meetings.
Provide administrative support and coordination for Hosanna’s Annual Meeting and Mid-Yr Financial Review meeting.
Responsible for proactive project management of assigned systems and initiatives for the Lead Pastor and/or the organization – both at a high level coordination and management while responding to the details of the projects.
Support the needs of the Vision Board, including, but not limited to, assisting and coordinating in the planning and execution of the monthly board meeting as well as the annual retreat, researching projects, collecting and analyzing information, taking board meeting minutes and meeting assignment details.
Coordinate, provide project oversight with the Vision Board nomination process and annual congregational meeting.
Attend and participate in SLT meetings & Executive Team meetings in conjunction with or representing the Lead Pastor.
Coordinate and administratively support Hosanna’s Monthly Staff Newsletter.
Coordinate, schedule and execute details of annual Staff Retreat.
Prepare relevant items and information needed for sabbatical process including grant applications, scheduling and coordination of activities, budgeting, reimbursement, and provide backup support for those on sabbatical.
Coordinate with outside speakers and pastors for sermon coverage.
Coordinate, schedule and execute parties/gatherings for staff, Executive Team, SLT and Vision Board.
Schedule meetings, prepare supporting documentation and materials for Lead Pastor meetings with givers.
Proactively conduct thorough research for the organization’s initiatives and ministries, as well as coordinating and/or leading those assigned initiatives at the direction of the Lead Pastor.
Responsible for recruiting, developing, encouraging and leading volunteers and/or teams of volunteers where appropriate within the ministry.
Other duties as assigned by the supervisor.
Education/Experience
Bachelor’s Degree - required
Experience in administrative support - required 7+ years.

Proven results oriented experience with the ability to work independently and collaboratively in support and unity.
Ability to take initiative and work with minimal supervision.
Willingness to demonstrate a strong loyalty to the Lead Pastor – having a shared philosophy, theology and ministry.
Ability to effectively represent the Lead Pastor and the organization.
Strong administrative experience in project management, systems, and software, including new technologies, social media, etc., embracing new technologies and initiatives as necessary to successfully support the Lead Pastor and organization.
Ability to collaborate well in cross-functional teams and projects across the organization.
Strong interpersonal skills in working with different personalities and leadership styles.
Working Conditions & Physical Demands
Schedule will include working evenings, weekends, and extended hours as required by ministry & Lead Pastor needs. This includes Christmas Eve and Easter.
Extensive standing, walking and sitting for extended periods of time.
Repetitive keyboard and mouse movements requirements.
May require lifting up to 25 lbs.
A mature faith, a personal relationship with Jesus Christ, commitment to the Teaching Statement and ministries of Hosanna, a signed Hosanna Leadership Covenant, and submission to Biblical authority along with membership in the congregation and worship at Hosanna are requirements for all employees.
