At the present time, a vacancy for an Administrative Assistant/ Secretary exists within the division of Student Services at the Chester County Intermediate Unit, located at the Educational Service Center in Downingtown, PA. This position will support the Advanced Clinical Services and Home and Community Services departments.

Qualifications

High School Diploma required; Post-secondary training preferred
1-3 years previous secretarial/clerical experience is required
Working knowledge of special education processes, procedures, and school district operations preferred
Documented training in e-mail, word processing, spreadsheets, and databases
Current child abuse, criminal and FBI clearances
Clearance as an MA provider by Commonwealth of PA and federal government (conducted by CCIU upon hire)

Duties and Responsibilties

Process incoming referrals for services
Work with a team to set up student and staff information
Advanced skills in Excel to set up complex spreadsheets, create data formulas, and manage the analysis of data
Advanced computer skills with setting up and inputting data across different systems
Excellent verbal and written communication skills with internal team and external stakeholders
Sound organizational skills to manage multiple responsibilities and projects to meet all timelines
Prepare billing invoices and process received invoices for payment
Manage clerical duties
Daily activities require independent thinking and immediate decision-making

Salary (2025-2026 School Year)

Support Hay, Band 10, Nonexempt (eligible for overtime)
$21.47-$26.84 annually, based upon experience

Schedule

Monday - Friday, 7:30am - 3:30pm
260 days per year (12-month position)
