Rate: $24.15 hourly

General Purpose of Position
Performs various duties required in the City Clerk’s office including performing the duties of the City Clerk in that person’s absence.
Major Duties and Responsibilities
- Prepares minutes of City Council meetings
- Produce drafts of minutes for review by the City Clerk
- Distribute and upload minutes to the agenda management system
- Assists with packet preparation on a weekly basis
- Prepare copies of materials from various sources
- Provide copies of all relevant materials for Council packets
- Place all boards and commission materials in packets
- Update website with appropriate information
- Maintains membership lists for all boards and commissions
- Update Master Board and Commissions list
- Notify the Mayor and City Council of openings
- Prepare a monthly list of openings and membership
- Post openings on the city website
- Coordinates the updating of the municipal code book
- Track codebook updates as they occur
- Send all updates to the codification consultant after every Council meeting.
- Interface with the codification consultant during update to ensure accuracy
- Distribute codebooks after each revision
- Serves as staff liaison to Safety Committee
- Prepare all agendas and minutes
- Collect information from city departments regarding safety programs
- Inform Mayor of vacancies of membership
- Monitor and awards safety days off to all full-time employees.
- Serves as City Clerk’s liaison with the Planning and Zoning Commission
- Collect all the materials needed for City Council hearings
- Distribute all material to the City Council
- Place public hearings on the City Council agenda
- Post and advertise public hearings according to state law and local ordinance
- Processes and Issues liquor licenses
- Receive and review liquor applications for accuracy
- Send information to the Police Department for record checks.
- Check for valid business license.
- Send to Public Works and Police to check for violations.
- Issues license if application is approved by City Council.
- Assists with Coordination of Special Use Permit transfer process
- Compiles paperwork for transfers of Special Use Permits to be placed on the Council Agenda.
- Assumes all City Clerk duties in that person’s absence
- Performs other duties as directed
Requirements
Education and Experience
The person in this position must have a high school diploma or its equivalent with some college or managerial courses preferred. This position requires at least two years of experience working in a municipality with five years preferred. An equivalent combination of education and experience will be considered.
Licenses and Certifications
A valid driver’s license is preferred; Certified Municipal Clerk (CMC) or Missouri Registered City Clerk (MRCC) status is preferred.
