We are seeking a proactive and detail-oriented Catering Sales Coordinator to support the catering sales team for multiple brands under BBQ-Holdings by handling inbound and outbound sales inquiries, maintaining client relationships, and performing daily administrative and sales-support tasks to drive catering revenue growth. This role is instrumental in converting leads into loyal clients through exceptional communication, organization, and a sales-minded approach.
Major functions of the position include meeting or exceeding sales goals set by leadership, maintaining customer relationships, creating proposals, processing catering orders across various systems and efficient communication with each other and our restaurants to ensure 100% accuracy for all catering orders.
Key Responsibilities:
Sales Communication & Lead Management
- Respond promptly, professionally, and thoroughly to inbound sales inquiries via phone and email.
- Exceed clients' expectations with professional, personable, friendly service and call accuracy.
- Conduct outbound calls and email outreach to follow up on leads, re-engage past clients, and generate new opportunities.
- Ability to seamlessly liaison/escalate client needs to leadership, including Sales Supervisor, Sales Managers, Restaurants, Restaurant Managers and/or Restaurant Area Directors.
- Maintain a strong understanding of various menus including catering packages, pricing, availability and execution to provide accurate information and tailor to prospects' event needs.
- Consistently achieve sales goals by building custom orders that meet each Guests needs, up-selling when appropriate and using a consultative/suggestive selling approach
Sales Support & Coordination
- Enter and manage all warm & cold calls in call center software program and catering CRM program.
- Assist with preparing proposals, contracts, invoices and order confirmations.
- Ability to work on several catering orders at the same time with the same attention to detail while maintaining excellent guest experience.
- Coordinate with operations teams to confirm event details and logistics.
- Monitor and follow up on outstanding proposals to convert them into booked business.
Administrative & Daily Operations
- Maintain updated sales resources and menus for distribution to clients.
- Assist in the coordination of promotional campaigns and seasonal offers.
- Support other administrative tasks as needed to ensure the smooth operation of the Catering Sales Center, prioritizing around incoming interactions.
- Learn and apply a broad knowledge of BBQ Holdings catering policies and standard operating procedures, with ability to adapt with future Sales Center growth and developments.
Qualifications:
- Experience in sales coordination, catering sales, customer service, or hospitality.
- Strong phone presence and excellent written/verbal communication skills.
- Proven ability to manage multiple tasks and prioritize in a fast-paced environment.
- A customer-first mindset with strong attention to detail and follow-through.

Working Conditions:
- Fully remote role.
- Must have strong internet services.
- Must be available to work nights and weekends with occasional Holidays based on business needs. Hours range from 24-32 hours a week. With willingness to be flexible/change shifts.
- May require sitting for long periods and using a phone/headset/computer for extended durations.
