Who we are:

Veteran Benefits Guide (VBG) was founded by a former United States Marine with the goal of ensuring that Veterans receive accurate disability benefits in a timely manner. Since it was founded, VBG has guided more than 35,000 Veterans through the complicated Veteran Affairs (VA) disability claims process. As a company founded by a Veteran and staffed by many Veterans and families of Veterans, VBG is committed to advocating for policies that protect the rights and interests of former service members.


Who we’re looking for:

We are seeking a Senior Administrative Coordinator to join our team. This role is essential in creating a welcoming and efficient office environment by managing reception duties, visitor check-ins, and administrative support functions. The ideal candidate will be highly organized, proactive, and able to manage multiple responsibilities independently while maintaining professionalism in a fast-paced, mission-driven setting.

Essential Functions:

Key Responsibilities

  • Greet visitors and maintain accurate visitor logs.
  • Complete security procedures, including issuing badges and visitor passes.
  • Schedule and book meeting rooms, arrange transportation, and manage office calendars.
  • Handle incoming and outgoing mail and packages.
  • Respond to internal and external inquiries with professionalism and accuracy.
  • Provide clerical support such as filing, data entry, and phone routing.
  • Assist with or serve as backup for special clerical projects.
  • Coordinate with cross-functional teams to ensure smooth office operations.

Qualifications

  • 3-5 years of experience in administrative coordination, office support, or a related role.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite and office management tools.
  • Ability to work independently, exercising sound judgment within established procedures.
  • Professional demeanor with strong interpersonal skills to interact effectively with visitors, staff, and management.

Education:

  • High school diploma or equivalent required; additional training or certification in office administration preferred.

Travel:

Travel to out-of-state off-site training or meetings may be required and is estimated to be less than 5%. Travel will be required to our San Diego, CA office for training as needed.
