POSITION SUMMARY:
The Transfer Evaluator/NAIA Specialist reports to the Registrar to ensure that student transfer evaluations are handled smoothly for all students and stakeholders across the Leavenworth, Overland Park, Prison Education Program and Online campuses. In addition, this position works collaboratively with the Registrar, Faculty Athletic Representative and Vice President for Athletics for determination of athletic eligibility and satisfactory academic progress as set forth by the NAIA for student-athletes. This position may be eligible for hybrid and/or remote work.
ESSENTIAL FUNCTIONS:
Registrar Functions:
- Keeps current on any changes in the curriculum or policy that may affect degree audits (advising trees)
- Performs GPA calculations for new transfer students
- Performs admissions to registration pulls to move students from admissions status to student status
- Evaluates transferability of credit for all new students and enters all transfer work
- Evaluates transferability of credits for current students submitting Transfer Course Approval requests
- Maintains the Transfer Evaluation System (TES) for outside and internal stakeholders
- Maintains transfer credit in the Jenzabar system for each course coming from an outside institution
- Prepares repeat and non-applied coursework reports for Financial Aid
- Proactively responds to the needs of the department as appropriate to include occasional duties outside of normal working hours (e.g., Saturday mornings) for registration and/or Commencement activities
- Maintains the confidentiality and protection of student records according to FERPA
- Provide superior customer service to students, faculty, and staff visiting the department that demonstrates a model of professional behavior for all constituencies
- Assists other registrar staff with day-to-day tasks associated with faculty, staff and student registration related issues. Maintains a complete understanding of USM graduation policies, procedures, and practices and serves as back-up to other registrar staff
- Performs additional job-related duties as assigned
NAIA Athletic Eligibility
- Coordinates and administers the evaluation and determination of transfer credit for all student athletes as related to NAIA eligibility
- In conjunction with the Registrar, Vice President for Athletics and Faculty Athletic Representative, makes final determination of NAIA eligibility and approves submission of official rosters
- Maintains up-to-date knowledge on university systems, policies, and procedures, as well as NAIA rules and regulations, as they relate to transfer of credit, athletic eligibility, student degree architecture, and other matters pertaining to building an accurate student degree plan
- Regularly attend annual NAIA convention to stay current on eligibility criteria as funds are available
REQUIREMENTS:
- Bachelor’s Degree required
- Proficient with Jenzabar (J1) preferred
- Advanced proficiency with Microsoft Office applications (Outlook, Word, PowerPoint, and Excel)
- Two or more years of professional experience in higher education setting preferred
- Knowledge of NAIA rules and eligibility requirements preferred
- Commitment to accuracy and detail
- Must be an effective communicator and demonstrate excellent administrative and human interaction skills
